Job Summary

We are seeking a highly organized, proactive, and professional Executive Assistant to support senior management and oversee VIP coordination, guest management, and exhibition operations. The ideal candidate should be fluent in Arabic and English, possess excellent communication and coordination skills, and maintain a polite and professional approach in all interactions.

Key Responsibilities
  • Coordinate guest arrivals and departures, including travel arrangements, accommodation, transportation, and schedules.
  • Manage exhibitions and events end-to-end, ensuring smooth planning, coordination, and execution.
  • Assist VIP guests and senior stakeholders with professionalism, discretion, and hospitality.
  • Handle executive calendars, meetings, appointments, and follow-ups efficiently.
  • Coordinate with internal teams, vendors, and external stakeholders for seamless operations.
  • Prepare reports, presentations, and meeting documentation as required.
  • Anticipate executive and guest requirements proactively and provide timely support.
  • Maintain confidentiality and professionalism in all communications and activities.
  • Support day-to-day administrative and operational functions for leadership.
Requirements
  • Fluent in Arabic and English (spoken and written).
  • Proven experience as an Executive Assistant, VIP Coordinator, or in a similar role.
  • Strong organizational, multitasking, and coordination abilities.
  • Proactive mindset with excellent problem-solving skills.
  • Experience in exhibition or event coordination is highly preferred.
  • Excellent interpersonal and stakeholder management skills.
  • Polite, professional, and presentable personality.
  • Ability to work under pressure and manage multiple priorities effectively.
  • Proficient in Microsoft Office and business communication tools.
Preferred Candidate Profile
  • Detail-oriented with strong follow-up skills.
  • Ability to handle confidential information with discretion.
  • Experience supporting senior executives or VIP clients is an advantage.
  • Strong customer service and hospitality mindset.
