Responsibilities
Manage and maintain all project documents ensuring they are accurate, up-to-date and easily accessible for team members. Implement and oversee a document control system that adheres to industry standards and project requirements, minimizing errors and delays. Coordinate with project teams to collect, review and distribute documentation ensuring compliance with quality assurance processes. Establish and enforce document management protocols including version control, indexing and archiving procedures.
Facilitate the smooth flow of documentation between stakeholders, providing training and support as needed to ensure adherence to processes. Conduct regular audits of documentation practices to identify areas for improvement and ensure compliance with regulatory requirements. Create and maintain comprehensive records of document submissions, approvals and revisions for accountability and traceability. Utilize document management software effectively to streamline processes and enhance collaboration among team members.
- Bachelor's degree in Business Administration, Information Management, or a related field preferred.
- Minimum of 3 years of experience in document control or records management within engineering or construction industries.
- Proficiency in document management software (e.g., Aconex, SharePoint) and MS Office Suite is essential.
- Strong attention to detail with exceptional organizational and time management skills to handle multiple projects simultaneously.
- Excellent communication skills, both written and verbal, to effectively liaise with diverse teams and stakeholders.
- Ability to work independently and collaboratively within a team environment, promoting a positive work culture.
