Key Responsibilities

  • Maintain and organize all incoming and outgoing project documents. Ensure proper filing electronic and hard copy in line with company standards.
  • Control document numbering, sorting, filing and retrieval.
  • Manage document control systems e.g., Aconex, EDMS. Ensure all documents are up-to-date and accessible to relevant stakeholders.
  • Track revisions and maintain version control of drawings and documents.
  • Distribute documents to project teams, consultants and subcontractors. Ensure timely submission and receipt of documents. Liaise with engineers, project managers and external parties.
  • Ensure documents comply with company standards and project requirements. Maintain confidentiality and security of sensitive information. Support audits by providing required documentation.
  • Generate reports on document status, delays and outstanding submissions. Maintain logs e.g., transmittals, RFIs, submittals, drawing registers.
  • Archive completed project documents in accordance with company policies. Ensure proper handover documentation at project completion.
Required Qualifications
  • Diploma or Bachelor’s degree in Business Administration, Engineering, or related field.
  • Proven experience as a Document Controller in construction or engineering projects.
  • Familiarity with document control software (e.g., Aconex, SharePoint, EDMS).
  • Strong knowledge of document management processes.

  • Proficiency in MS Office (Word, Excel).
  • Ability to work under pressure and meet deadlines.
