Executive Administrative Assistant

We are searching for the best talent for the Executive Administrative Assistant role to support the General Manager for the Middle East & Africa region of a leading Med Tech organization. This critical role requires exceptional organizational capability, discretion, executive presence and the ability to operate effectively across a fast‑paced, multicultural, highly matrixed environment.

Responsibilities
  • Executive Support
    • Manage a complex and dynamic calendar across multiple time zones and stakeholders.
    • Coordinate domestic and international travel arrangements, itineraries, visas, accommodation, and logistics.
    • Prioritize meetings and appointments aligned with business priorities.
    • Prepare meeting materials, presentations, agendas, and briefing documents.
    • Screen and manage communications on behalf of the General Manager with professionalism and discretion.
    • Track key actions, follow‑ups and deliverables to ensure execution.
  • Leadership & Regional Coordination
    • Support coordination of regional leadership meetings, town halls, workshops, and business reviews.
    • Assist in planning leadership events, customer engagements, and regional conferences.
    • Coordinate across multiple functions and markets within the Middle East & Africa region.
    • Maintain strong relationships with internal stakeholders, external partners, and leadership teams.
  • Operational & Administrative Excellence
    • Process expenses, purchase orders, and administrative documentation accurately and on time.
    • Support onboarding coordination for new leadership team members where required.
    • Maintain confidentiality of sensitive business and organizational information.
    • Identify opportunities to improve administrative processes and ways of working.
    • Provide ad hoc support on strategic initiatives and special projects.
Qualifications
  • Minimum 2 years experience, preferably in healthcare.
  • Excellent communication, organizational and analytical skills with enthusiasm and determination to succeed in a customer‑focused environment.
  • Ability to speak fluent English and Arabic is a plus.
  • Proactive, calm under pressure, solutions‑oriented, highly dependable, organized without being rigid.
  • Confident interacting with senior leaders and adaptable in a dynamic regional environment.
