Key Responsibilities
- Greet and assist visitors, clients, auditors, and regulatory inspectors in a professional manner
- Manage incoming calls, emails, and inquiries efficiently
- Maintain visitor logs and ensure proper sign‑in/sign‑out procedures (compliance requirement)
- Coordinate visitor access with security and relevant departments
- Schedule meetings and manage conference room bookings
- Handle courier services, shipments, and document tracking
- Support administrative tasks (filing, data entry, document control)
- Ensure reception area meets company hygiene and compliance standards
- Assist during audits by providing required documentation or coordination support
- High school diploma or equivalent (Bachelor’s preferred)
- 1–3 years of experience in a receptionist/admin role (experience in pharma or medical device is a plus)
- Strong communication and interpersonal skills
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Ability to maintain confidentiality and professionalism at all times
- Attention to detail (this industry lives and dies on it)
- Organizational and multitasking ability
- Professional communication
- Basic understanding of compliance and documentation control
- Customer service mindset
- Must follow company policies related to hygiene, safety, and documentation
- Professional appearance and conduct at all times
- Ability to handle high‑pressure situations (e.g., audits, inspections)
