As Shamal Holding continues to grow, we are in search of a strong Officer – Administration. In this role you will support the operations team by managing the administrative requirements of the assets.
Responsibilities- Handle daily administrative tasks such as filing, data entry, document preparation and scheduling.
- Greet and assist visitors, tenants and customers with a professional and welcoming attitude.
- Provide accurate information about the destination, services, promotions and facilities.
- Manage visitor inquiries in person, by phone, email and messaging channels.
- Act as the main point of contact for suppliers, contractors and service providers.
- Process all invoices and coordinate the same with internal departments (finance and procurement).
- Prepare reports and presentations within the given deadlines as required by management.
- Lead and carry out PO and PR processes and administer related requests through the assigned ERP software(s).
- Assist the leasing department with day‑to‑day matters: preparing contracts, performing due diligence and collecting related documentation.
- All data to be updated and uploaded within the ERP software(s).
- Ensure that all tenant complaints, issues and operational challenges are addressed regularly.
- Perform agreements due diligence and collect and validate related compliance documents – insurances, trade license, POAs, MOAs for all tenants, etc.
- Proficiency in MS Office and basic administrative systems.
- Carry out any other reasonable task as assigned by management.
- Bachelor's Degree in Business Administration, Accounting or Finance.
- Minimum of 2 years experience in leasing administration and tenant relations.
