The role of the Executive Administrator involves performing administrative tasks to ensure efficient operation of the office. The ideal candidate will be a strong and reliable support to company operations allowing Maison D’vie to achieve organizational efficiency and strategic goals.

Responsibilities
  • Serving as the main point of contact and handling day-to-day email correspondence with vendors, partners, suppliers, and other IFZA departments. Tracking attendance and setting up meetings.
  • Maintaining ZOHO Inventory, including arranging import of goods, receiving, and stocking items, and managing stock levels (physical and online).
  • Fulfilling orders and handling finances, such as providing invoices, purchasing new collections, maintaining records of purchase orders and billing, managing corporate cards and petty cash, and taking care of Facebook and Instagram payments.
  • Performing data entry tasks, including website maintenance, product creation, online order fulfillment, and ZOHO Inventory items creation and maintenance.
  • Assisting with acquiring necessary assets, consulting with IFZA Procurement department, and conducting physical visits to supplying stores.
  • Organizing occasional photoshoots, including acting as a photographer, providing photo editing support, and assisting during the photoshoots (clothes ironing, managing the proper course).
  • Maintaining contact with influencers and bloggers and taking care of Facebook and Instagram posts and messages.
  • Performing other job-related duties as assigned by Management.
Requirements
  • Tertiary education in Administrative or relevant subjects.
  • Minimum of 3 years' experience in a similar role in the UAE.
  • Full English proficiency is required.
  • Additional spoken languages are a plus.
  • Intermediate computer literacy is required e.g., MS Office.
  • Strong organizational and time-management skills.
  • Superb attention to detail and ability to multitask effectively.
  • Quick learner, capable of adapting to new responsibilities.
  • Ability to work under pressure and meet deadlines.
  • Entrepreneurial mindset and willingness to work in a startup environment.
  • Knowledge of CRM systems is a plus.
