To provide professional and timely support in all processes related to employment visas, residency permits, Emirates IDs, labour contracts, medical fitness tests, and other statutory requirements for employees under the Company’s sponsorship in Dubai. The role ensures full compliance with UAE and Dubai regulations while coordinating closely with HR and Recruitment to ensure smooth onboarding and employee lifecycle management.
1. HR & Employee Administration Support- Onboarding support (document collection, insurance applications, file setup Maintaining employee records
- Coordinating medical insurance and renewals
- Managing employee letters (salary certificates, NOCs, etc.)
- Coordinating visa applications and renewals (incl. monitoring Emirates / residency expiry dates)
- Trade license and company document renewals
- Liaising with government entities (MOHRE, immigration
- Tracking fines, documentation updates, and compliance requirement
- Managing petty cash, collecting and organizing invoices, and maintaining expense records
- Supporting payment follow-ups with suppliers
- Coordinating with banks for documentation
- Managing office supplies and inventory
- Coordinating maintenance, cleaning, and repairs
- Handling office lease matters and landlord communication
- Maintaining company records and documentation
- Vehicle registration renewals
- Vehicle Insurance follow-ups
- Incident documentation and tracking and insurance follow-up
- Acting as a coordination point between departments (Local team, HR, Finance, IT)
- Handling general inquiries and correspondence
- Supporting management with ad hoc administrative tasks
- Maintain accurate records of all immigration and labor-related documents
- Ensure confidentiality and systematic filing of employee government documentation
- Prepare reports related to visa status, renewals, fines, and compliance when required
- Support trade license renewals and liaise with relevant Dubai authorities for company documentation
- Assist with inspections, regulatory submissions, and official documentation requirements
- Undertake additional duties and responsibilities as assigned by management from time to time
- Provide support on special projects and urgent tasks as and when required
- Assist across functions to ensure smooth business operations when needed
- Higher Secondary Education (bachelor’s degree preferred
- 2–4 years of relevant PRO/Government Relations experience within Dubai, UAE
- Strong working knowledge of Dubai immigration and labor procedures
- Hands‑on experience with MOHRE, GDRFA Dubai portals, Amer, Tasheel, and ICP systems
- Strong understanding of UAE Labor Law
- Excellent organizational and follow-up skills
- Ability to work under pressure and manage strict deadlines
- Strong coordination and communication skills
- Proficiency in Arabic and English preferred
