Key Responsibilities

  • Document Management
Document Management
  • Receive log and distribute incoming project documents such as drawings, correspondence, transmittals, RFIs, and submittals.
  • Ensure documents are properly checked, approved, and filed (soft and hard copies) in accordance with company and project-specific procedures.
  • Maintain up-to-date records of all drawings and other project documentation.
  • Track document submissions and ensure timely return of reviewed documents.
Control & Compliance
  • Control document versions and revisions to avoid errors or duplication.
  • Maintain confidentiality and security of sensitive documentation.
  • Ensure compliance with company and project-specific document control procedures and systems.
Coordination & Support
  • Coordinate with design, procurement, QA/QC, site, and project management teams to manage documentation flow.
  • Prepare and manage document transmittals and correspondence logs.
  • Support team members with document searches and retrieval requests.
System Management
  • Use document control software or tools (e.g. Aconex, Procore, MS Excel, SharePoint) for effective documentation.
  • Keep hard copy and digital filing systems organized and updated.
Requirements
  • Diploma or Bachelors degree in Business Administration, Engineering, or a related field.
  • 24 years of experience in a Document Controller role, preferably in construction, engineering, or aluminium/glass industry.
  • Excellent knowledge of document control systems and Microsoft Office (Excel, Word, Outlook).
  • Familiarity with project documentation such as drawings, technical submittals, and transmittals.
  • High attention to detail and strong organizational skills.
  • Strong communication skills in English (verbal and written).
  • Ability to work under pressure and manage multiple deadlines.
