Overview

Astro Offshore is looking for a detail-oriented professional to manage goods receiving and documentation processes. This role involves reviewing delivery notes and invoices against approved purchase orders, preparing and maintaining accurate Goods Received Notes (GRNs), performing three-way matching, and ensuring compliance with company policies before invoices are processed.

The ideal candidate will have 1–3 years of experience in GRN, inventory, procurement, or warehouse administration, with strong organizational skills and attention to detail.

Responsibilities
  • Review and verify delivery notes and invoices against approved purchase orders to ensure accuracy and compliance.
  • Inspect goods for quantity, quality, and condition upon receipt in office only.
  • Identify and report discrepancies, damages, or shortages promptly
  • Prepare, issue, and maintain accurate Goods Received Notes
  • Ensure all GRNs are properly authorized and documented
  • Perform three-way matching between Purchase Orders, GRNs, and supplier invoices
  • Coordinate with warehouse/store teams to ensure proper storage and labelling
  • Assist with stock counts, reconciliations, and variance investigations
  • Perform GRNs and Submit invoices to the Finance/Accounts team to support invoice processing and payment
  • Ensure invoices are not processed without a valid GRN
  • Support internal and external audits by providing required documentation
  • Liaise with logistics and procurement regarding delivery discrepancies or missing documentation and resolve receiving issues
  • Ensure all receiving activities comply with company policies and procedures
  • Identify process gaps and recommend improvements to enhance efficiency and accuracy
Skills and Experience
  • Minimum 1–3 years’ experience in a GRN, inventory, procurement, or warehouse administration role.
  • Coordination, organizational skills, problem-solving, time management.
  • Written & Spoken English, proficient in MS Office.
Qualifications

Diploma or Bachelor’s degree in Business Administration, Supply Chain, Accounting, or a related field
