Planning and Supply Executive

Role Overview

The primary objective of this role is to support the growth and development of the EV Brand (BYD – Polestar) by exploring new opportunities and enhancing administrative efficiency, thereby optimizing business operations in the expanding car market.

• Inbound Process Management: Oversee all activities related to the import of cars. Act as the key liaison for Logistics, Customs, Finance, and external contacts such as the Factory and Principal.
• SAP and Documentation: Ensure proficiency in SAP and excellent communication skills. Verify invoice prices against the agreed pricing in the orders. Create color variants in SAP and manage purchase orders, including article, variant, price, customs duty, freight, bank charges, and L/C charges. Prepare and upload VIN‑wise data (model code, model description, chassis number, engine number, interior/exterior color, production month) into the SAP system.
  
  Generate shipping notifications in SAP to initiate clearance from the port.
• Logistics and Customs Clearance: Collaborate with the Logistics team to complete the CCM and manage the GRN process, followed by IV and BOE operations. Verify AF logistic bills for the finance department to process payments. Prepare all necessary documentation for vehicle consignment clearance from the port. Liaise directly with the AFL Logistic Team on clearance matters. Prepare duty statements with supporting documents for the Finance Department to ensure timely payments and avoid penalties.
• Finance and Reporting: Perform final settlement posts in SAP for each bill of entry to process customs duty payments. Serve as the internal contact for Finance and Logistics and the external contact for Principal/Factory communications. Provide Goods in Transit (GIT) information to Finance. Create and update material/models in SAP for new arrivals. Adjust materials to sell vehicles with added accessories as higher options.
  
  Update RSP and discount conditions for each model in SAP for the sales team.
• Order and Inventory Management: Manage advance payment requests to the principal and customs duty payment requests. Handle orders and approvals required from management. Prepare internal reports on sales, arrivals, and stocks for management review. Update internal order sheets and submit them for management approval. Provide data support to logistics for timely inbound control and document clearance.
• Planning and Coordination: Maintain and update daily sheets with sales, stock, arrivals, and orders. Update orders based on business requirements. Maintain sales and order plans by agreements with the Principal. Update and manage the Planning Sheet with detailed information on orders, arrivals, sales, and stock.
• Detail-oriented individual with strong numerical skills and proficiency in SAP, capable of handling complex logistics and administrative tasks to support the strategic growth of the EV brand.

  Proficiency in SAP systems is essential.
• Logistics, Customs, and Shipping:
  Experience managing logistics, customs regulations, and shipping processes.
• Report Management and Generation:
  Capability to manage and create comprehensive reports.
• Inventory Management:
  Extensive experience in overseeing inventory processes and systems.

You will report to the Head of Operations and collaborate with internal and external stakeholders.

• Educational Background:
  Bachelor’s Degree in Business Administration.

  At least three years of experience in the automotive industry in a similar capacity.

  Skills:
  
  Proficiency in MS Office (Word, Excel, PowerPoint, MS Projects, SAP) and Power BI.
• Inventory and Supply Chain Expertise:
  In-depth knowledge of inventory management and supply chain modules in various ERP systems.

  Strong ability to manage customer relations effectively.
