Position: Hire Coordination Specialist (HCS)

Hire Coordination Specialist

Based in Sharjah.

You will be responsible for driving the integrity of Contract Lifecycle Management and aligning the end-to-end hire process, acting as the central point for both Hire Coordination and Billing teams. The role works closely with CSR, HC, Operations, Logistics, Sales, Billing, and Finance to ensure contract controls, revenue recognition, and commercial compliance.

What you’ll do as Hire Coordination Specialist
  • Principal point of contact responsible for managing the Contract and Billing life cycle of customer contracts, proactively setting expectations and communicating changes.
  • Lead, support and guide the Contracts and Billing team to ensure all contract‑related billing tasks are completed accurately and on time, and provide structured timely updates to the Manager.
  • Oversee the department dashboards, BTT and reports to maintain the set KPIs for the team.
  • Takes ownership of resolving all contract‑related and billing queries impacting ongoing contracts received from customers or internal teams and liaises with the appropriate teams to ensure these are resolved promptly to the customer’s satisfaction.
  • Perform validation for all new contracts generated from SF to M3, including reconciling proposals, pricing breakdown, client documentation, purchase order, revenue checks for rental and non‑rental M3 item codes, fleet allocation, share folder documentation and invoicing details.
  • Coordinate with client to confirm deliveries and collections to support timely hire start date, estimated end of hire and off‑hire recognition, supported by required acknowledgements sent to client by the CSR.
  • Update and close Hire Coordination cases and tasks in Salesforce.
  • Monitor and maintain day‑to‑day revenue variations, secured report alignments, disputed provisions, hire exchanges across contracts, credit note implications to manage contract accuracy and billing throughout the full contract lifecycle.
  • Manage Call‑Off Contracts, Master Agreements, Purchase Orders and Rate cards.
  • Support LPO follow‑ups and invoicing requirements, including timesheets and required client summaries.
  • Collaborate with CSR, HC and Biller on PO expiry dates and PO value monitoring and maintain necessary updates for LPO extensions in existing M3 agreements.
  • Record rental and non‑rental revenue movements in weekly secured revenue reports, clients on hire and off‑hire summary and communicate updates to Finance.
  • Participate in month‑end finance reviews to confirm revenue recognition impacts arising from contract variations and provide contractual evidence to support the variations.
  • Participate in audits for contracts and supporting documentation to ensure completeness, accuracy and compliance with process requirements.
  • Support cross‑hire revenue management in M3, including recognition of related supplier cost LPOs raised by Procurement and Logistics.
You are
  • Minimum of 2 years of relevant customer service contract administration experience in a business‑to‑business environment, preferably within rental operations.
  • Working knowledge of Microsoft Office and ERP/CRM systems such as Salesforce and M3.
  • Good written and verbal communication with attention to detail.
  • An collaborative lead with a results‑oriented approach through functional mentorship and proactive problem‑solving.
  • Ability to manage multiple tasks, maintain data accuracy and meet service level expectations.
  • Self‑driven, organised and willing to learn all aspects of the hire lifecycle.
