Procurement Coordinator

Job Responsibilities

• To be an integral part of the procurement department to support with the day‑to‑day activities of the plant operations.
• Support the team with all prequalification related activities along with vendor registration.
• Support the team with all contractor safety management topics and activities (CSM).

• Set personal examples and act as a role model to ensure a solid health & safety culture and implementation of group standards and policies.
• Create health & safety awareness by promoting safety meetings and talks, and by encouraging health & safety initiatives.
• Lead by example and ensure a safe working environment for subordinates.
• Submit near‑miss & VPC reports in iCar.
• Ensure the use of personal protective equipment on/off site and following standard operating procedures for all relevant operations.
• Commit to and achieve policy rules on limits of working hours by employees.
• Comply with H&S policies, rules and regulations on site and on the road.
• Prepare risk assessments/permits/LOTOTO before starting any task.
• Inspect all tools regularly as required by risk management.
• Target of 4 BOG, 2 VPC and 2 hazards to report every month.
• Support the department in achieving CSM targets and deadlines.
• Aware and adhere to statutory regulations and decrees.
• Respect and follow procedures in place.
• Indicate non‑compliance or environmental incidents to the relevant authority.

• Foster a positive attitude to supporting any quality program pursued by risk management.
• Represent the company in a professional manner when liaising with external sources.

• Maintain and manage inventory records and procurement documentation with accuracy and compliance.
• Drive monthly cost optimization and procurement savings initiatives.
• Lead the vendor prequalification process for goods and service providers.
• Support group reporting and dashboard preparation through Power BI, including monthly spend analysis and tracking.
• Demonstrate comprehensive knowledge of procurement processes and best practices.
• Maintain a thorough understanding and compliance with procurement‑related MCS requirements.
• Obtain and evaluate a minimum of three quotations from potential suppliers, ensuring optimal balance between cost, quality, and delivery requirements.
• Process and release purchase orders (POs) for spare parts procurement from local and GCC suppliers through SAP, as required.
• Prepare purchase orders, coordinate GR/P/O processing, and facilitate invoice submission to the finance department.
• Coordinate with vendors on payment follow‑ups and monitor pending or missing invoices between suppliers and the finance team.

• Maintain a proactive approach towards interaction between in‑house departments.
• Constructively contribute to workshop foreman and maintenance manager on planning and meetings.
• Proactively initiate, lead, or become involved in initiatives to improve organizational performance.

• Follow the code of business conduct process as prescribed by the company.
• Follow procurement‑related MCS standards at all times.

• Be aware of competition law and adapt behavior by knowing relevant regulations.
• Be aware of group conflict of interest guidelines, anti‑bribery policies, and code of business conduct.

As required, conduct other duties requested by the procurement supervisor or head of procurement.

• Diploma or certificate in a relevant field.
• UAE driver’s license is an advantage.
• 2 to 3 years of relevant experience in the UAE.
• Basic knowledge of procurement related activities is mandatory.
