The Group Reservations Agent is responsible for coordinating and processing hotel group reservations in support of the Sales Department. This position ensures group bookings are accurately entered, maintained, and communicated across hotel departments to deliver a seamless guest experience and maximise hotel revenue.
Key Responsibilities- Manage all hotel group room reservations generated by the Sales Department, including corporate groups, leisure groups, meetings, and special events.
- Create, maintain, and update group room blocks in the hotel PMS.
- Ensure accuracy of contracted rates, room types, room blocks, cut-off dates, deposits, billing instructions, and special requests.
- Process group rooming lists and issue confirmations in accordance with hotel standards; monitor group room block pick-up and provide regular reports to the Sales and Revenue Management teams.
- Communicate group details to Front Office, Revenue Management, Housekeeping, and other hotel operational departments.
- Respond promptly and professionally to internal and external inquiries related to group reservations.
- Assist with group billing setup, master accounts, and folio routing in coordination with Finance and Front Office.
- Support the Sales team with administrative tasks related to group proposals, contracts, amendments, and event details.
- Ensure compliance with hotel policies, brand standards, and revenue management strategies.
- Maintain accurate records and documentation for all group reservations.
- Previous experience in hotel reservations, group sales coordination, or hotel front office operations preferred.
- Strong attention to detail and organizational skills.
- Ability to manage multiple hotel group bookings simultaneously in a fast-paced environment.
- Excellent written and verbal communication skills.
- Working knowledge of hotel PMS systems, Marsha, Microsoft Office applications.
- Strong customer service skills with a professional and courteous demeanor.
- Ability to work collaboratively with hotel sales, front office, and operational teams.
