Admin Coordinator plays a key support role in ensuring smooth people operations and office administration across the UAE. This role supports HR processes, employee experience initiatives, and administrative coordination, while maintaining a welcoming and efficient office environment. Working closely with the People team, Finance, and external vendors, this role ensures that both HR and operational tasks are executed with high accuracy and professionalism.
WhatYou’ll Do
Administration & Office Coordination
- Act as the first point of contact and receptionist, managing the front desk, visitors, and incoming calls.
- Handle PO creation, meeting room bookings, and general administrative coordination.
- Manage ordering of stationery and office supplies and coordinate with vendors.
- Support day‑to‑day office operations, including visas, medical insurance, and employee documentation.
- Assist with internal events and employee engagement activities.
- Ensure a welcoming, organized, and efficient office environment.
HR Operations & Support
- Support day‑to‑day HR operations and employee lifecycle processes.
- Coordinate employee onboarding and offboarding processes.
- Maintain accurate employee records and documentation in HR systems.
- Support leave management, attendance tracking, and HR requests via ESS.
- Assist in payroll coordination by validating data and documentation.
- Support rewards administration (salary changes, bonuses, commissions) as needed.
- Handle HR‑related employee queries professionally and confidentially.
Coordination & Communication
- Act as a point of contact between employees, HR, Finance, and external vendors.
- Support communication related to HR policies, processes, and announcements.
- Assist in preparing HR reports, trackers, and documentation.
- Bachelor’s degree in human resources, Business Administration, or related field.
- 2–4 years of experience in HR and/or administrative coordination (UAE experience preferred).
- Knowledge of UAE labor law and HR practices is a plus.
- Strong organizational and communication skills.
- High attention to detail and ability to manage multiple priorities.
- Comfortable working with HR systems and MS Office tools.
