The Project Coordinator/ Junior PM is responsible for supporting the Project Manager and project team in the planning, coordination, and administration of pre-contract and design phase activities. The role ensures that project objectives, deliverables, and client requirements are clearly defined, communicated, and achieved in accordance with contract agreements, timelines, and quality standards.
ResponsibilitiesProject Planning & Coordination:
- Define project scope, objectives, and deliverables.
- Develop Project Execution Plans (PEPs), baseline design programmes, and tender strategies (if included in scope).
- Ensure design deliverables meet project brief, budget (if any), and technical requirements as per contract.
- Monitor and track timely submissions according to baseline or updated approved programmes.
- Identify key milestones and establish coordination protocols with clients, consultants, and authorities.
- Identify initial scope gaps and discuss mitigation strategies with the Project Manager.
Documentation & Reporting:
- Prepare and present progress reports, risk registers, and decision logs to senior management and the client.

- Variation Order (VO) Log
- Baseline programmes and updated programmes
- Draft letters, correspondence, and official communications as required.
- Prepare meeting agendas, minutes, and follow-up action trackers for all pre-contract meetings.
Stakeholder Management & Communication:
- Coordinate between clients, consultants, and internal teams to ensure clear communication and timely resolution of issues.
- Assist in consolidating design comments from all disciplines and follow up on closeout actions.
- Communicate with Document Controllers (DCs) to ensure submissions meet schedule requirements, particularly for bulk or software-based submissions (Aconex, Tijori, etc.).
- Support review of sub-consultants invoices.
- Attend progress meetings with clients and internal teams, ensuring key details and action items are communicated effectively.
- Coordinate VO write-ups, deployment, and justification discussions with clients and internal teams.
- Maintain constant communication with Design Managers and Project Managers for scope clarifications and recommended actions.
- Provide input for effective client communication to prevent future issues.
- Review subconsultants’ proposals in line with principal agreements.
- Liaise with Commercial Team for invoice submissions, scope clarifications, and potential additional/VO scope.
- Strategic planning and organizational skills.

- Bachelor’s degree in Engineering, Architecture, Construction Management, or a related field.
- Minimum 6 years’ experience in project coordination/ project management, preferably in pre-contract or design management.
- Proficiency in project management software, MS Office, and design coordination tools.
- Site expertise is preferred
