Responsibilities

  • Administer new leave of absence claims, including running reports, identifying discrepancies, and updating systems.
  • Handle all communications throughout the leave with employees, their managers, Human Resources, and integrated partners.
  • Review policy manuals for leave and disability management to ensure compliance with applicable laws and best practices.
  • Implement process improvements to resolve inefficiencies and address customer pain points.
  • Provide and seek feedback to peers, supporting team growth and development.
  • Perform LOA audits for clients as needed and provide feedback and recommendations.
  • Research and respond to requests from the LOA third‑party vendor.
  • Lead, assist, and facilitate Interactive Process meetings with disabled employees, negotiating work‑related accommodations and return‑to‑work arrangements.
  • Resolve disability and leave management issues within the department.
  • Ensure compliance with FMLA, ADA, PFL, STD, LTD, and other applicable regulations.
  • Organize and maintain HR files, documents, and other administrative duties.
  • Manage and track LOA general email and voicemail, responding promptly.
  • Run and respond to wage report requests from internal and external partners.
  • Oversee the return‑to‑work process, including communication with employees and timely updates to systems.
  • Research employee data and provide updates as needed.
  • Maintain confidentiality of employee records and comply with HIPAA privacy laws.
  • Perform other LOA administration functions and projects as required.
Qualifications
  • 4+ years of work experience as a coordinator or administrator.
  • Detail‑oriented and able to thrive in a fast‑paced environment.
  • Ability to learn quickly and exercise good judgment.
  • Ability to maintain a high degree of confidentiality.
  • Proficiency with Microsoft Word, Excel, and Outlook.
  • Ability to sit and work at a computer keyboard for extended periods of time.
  • Ability to stoop, kneel, bend at the waist, and reach daily.
