What We’re Looking For

The Admissions Coordinator supports the admissions team with logistics and administrative details while overseeing the entire admission process and ensuring it runs smoothly. You’ll comfortably wear many hats and embrace growth in a dynamic, fast‑paced, entrepreneurial environment, driving results to enroll mission‑appropriate students into our world‑class program.

Your Primary Responsibilities
  • Manage and own a key part of the admissions process, ensuring applicants submit all necessary deliverables (transcripts, teacher recommendations, scheduled meetings including family meetings, playdate sessions, and entrance exams).
  • Conduct comprehensive follow‑up on those who have registered for and attended information sessions, school tours, or other admissions events; keep a log of all activity.
  • Orchestrate event management including planning, setting up, and tearing down; purchase or order refreshments and snacks; ensure all materials are prepared (forms, admissions folders).
  • Facilitate and process billing for marketing, supplies, events, etc.
  • Submit materials to vendors for production and ensure timely delivery (printouts, signs, etc.).
  • May contact marketing media vendors to collect information, follow up on billing, and request proposals.
  • General admin: keep projects on schedule, print and organize materials.
  • Update and pursue delegated tasks to ensure progress to deadlines.
  • Order supplies to ensure availability when needed.
  • Compose correspondence/reports as required to support management.
  • Open, handle, or disperse mail.
  • Keep the team updated on new or changing priorities.
  • Handle inquiries within own capacity, directing those outside capacity to the Director or Associate Director.
  • Route calls as needed.
  • Draft response emails.
  • Work well with confidential material and ensure discreet handling of all business and communications.
  • Arrange travel through internal or external agents.
  • Develop and maintain electronic and paper files.
  • Understand, control, and ensure accuracy of budgets and expenditures.
Minimum Qualifications
  • A high school diploma and valid fingerprint clearance required to work at BASIS Independent Schools.
  • Previous administrative experience.
  • IT literate and proficient in Microsoft Word, Excel, PowerPoint; reporting skills, email, and internet use are a must.
Preferred Qualifications
  • Excellent writing and editing skills.
  • Excellent organizational skills and ability to manage detailed logistics and program operations.
  • Self‑starter and effective time manager.
  • Strong communication, interpersonal, and relationship‑building skills.
  • Comfortable in a fast‑paced, high‑energy, entrepreneurial environment.
  • Willingness to work non‑traditional hours (evenings and some weekends) for events and projects.
  • Prior experience in an educational or entrepreneurial organization.
  • Able and willing to travel to out‑of‑state schools.
  • Experience working with children is preferred; a strong sense of personal responsibility and optimism; ability to stand for long periods inside and outside the building.
