General PurposeThe Human Resource Representative serves as a point of contact for HR Services, Talent Acquisition coordination, and the primary contact to evaluate criminal convictions in the background‑check process, providing hiring recommendations to the appropriate hiring manager. The role supports Ross Stores, Inc.’s background‑check screening process and is responsible for researching and executing quality evaluation and resolution of "needs review" background checks in compliance with applicable laws and company procedures.
The Representative receives, routes, and responds to calls from store management, field leaders, corporate and distribution centers on matters related to recruiting and onboarding, locating HR policies, providing guidance on basic policies, and working closely with other support functions to resolve matters quickly, clearly, and accurately through the case‑management system.
- Monitors various HR inboxes and responds to inquiries, escalating to the appropriate workgroup.
- Provides support to internal staffing and human resources systems from requisition creation through final offer processes, including posting jobs on various websites, coordinating interview schedules, administering temporary staffing programs, and the Associate Referral Award program. Also coordinates new‑hire onboarding processes such as background checks and relocation.
- Receives a large volume of incoming calls from various levels of associates, responding to routine inquiries including payroll, benefit, and leave‑of‑absence questions, and HR system navigation questions, achieving first‑call resolution in the majority of cases.
- Collects and disseminates information to designated work groups from clients calling a general HR phone number, quickly interpreting the situation, determining the appropriate resolution, transaction, and/or escalation, and communicating the resolution and/or escalation to the caller.
- Logs all inquiries into a case‑management system used by the Company, recording and maintaining call history and outcomes.
- Partners immediately with any critical or risk‑involved cases to ensure a quick and timely response.
- Tracks and reports on workload & customer service requests.
- Responsible for all aspects of assigned background screening adjudications for all business units, including:
- Validating applicant and associate credentials.
- Performing an individualized assessment in compliance with legal guidance to evaluate the candidate's suitability for hire or promotion.
- Researching candidate qualifications/eligibility by contacting applicants and external entities such as educational institutions, courts, and other third parties for information.
- Determining whether the background check should be passed or failed.
- Partnering and advising clients of outcomes based on the results of background screening.
