Job Summary

The Administrative Assistant for Dudley Baptist Church primarily supports the clerical and administrative needs of the Church.

Supervision

Report to Senior Pastor and works closely with other staff members.

Qualifications

A person who possesses the ability to multitask and relate to all areas of the Church. Proficient computer skills are required. The job setting requires the person to be professional in appearance and workmanship. The individual will practice a lifestyle that truly represents a personal relationship with Christ and with the philosophy of Dudley Baptist Church, demonstrating support for the mission of the Church.

Responsibilities
  • Work Schedule as follows, unless otherwise noted:
    Monday - Thursday 8:30 am - 4:30 pm, Friday 4 hours, to fit needs. (Schedule can change to fit needs per approval of the Senior Pastor or Administrative Pastor).
  • Answers phone calls, schedules appointments, greets visitors, and assists members with ministry-related tasks as required.
  • Coordinates communication related to church activities and maintains the master calendar.
  • Maintains Family Night Supper details/reservations.
  • Updates hospital and prayer lists and communicates to appropriate personnel.
  • Prepares and distributes publications, including weekly worship guide, monthly newsletters, and weekly announcements.
  • Orders and maintains supplies for church offices, custodial staff, and preschool department personnel.
  • Maintains all church rolls as outlined in detailed work instructions.
  • Learns, as a cross‑training strategy, the accounting systems used by DBC to assist as needed.
  • Prepares and mails out the annual church report for the Georgia Baptist Convention and the Laurens Baptist Association.
  • Grants and sends other churches membership requests.
  • Prepares ballots for church voting.
  • Prepares church reports for conference.
  • Checks and distributes mail.
  • Sorts invoices and mails checks.
  • Maintains all employee leave hours, including vacation, sabbatical, and sick leave.
  • Maintains an up‑to‑date listing of volunteers from the Student Pastor, Club 56 Pastor, and Children’s Pastor. Ensure all volunteers have a background check completed and filed accordingly.
  • Maintains personnel files that should contain job descriptions, employee evaluations, any disciplinary action, and acknowledgement of the personnel manual form.
  • Upload computer for all Pastoral needs. Produce items with Canva (or other platforms) for all Pastoral Staff upon request.
  • Performs related duties as assigned.
