Office Administrator/ Coordinator
We are seeking a candidate who is extremely organized, detail oriented, thrives in fast-paced, unpredictable environments, and able to constantly shift priorities to join our rapidly growing financial services team as an Advisor Recruiting & Field Support Coordinator. This will be a full-time position located in our Dublin, Ohio office.
Key Responsibilities:
· Recruiting & Lead Management
- Maintain accurate and timely updates within the CRM, including notes, activity tracking, and candidate progression.
- Support the recruiting process by coordinating outreach, managing follow‑up tasks, and ensuring timely communication with prospective advisors.
- Help tell the NEST story in a compelling, professional manner and assist in identifying new leads or referral opportunities.
- Compile recruiting reports, analyze activity trends, and surface insights that support strategic decision‑making.
· Field Support & Coordination
oAssist with scheduling meetings, calls, and virtual sessions for the recruiting lead and field team.
- Prepare meeting materials, confirm logistics, and ensure follow‑up actions are captured and completed.
- Oversee and maintain the travel calendar, including coordination of itineraries, meeting schedules, and on‑site logistics.
- Serve as a strong internal partner to team members across the department, ensuring smooth communication and alignment.
· Operational & Marketing Support
oIdentify marketing needs and coordinate with internal partners to ensure materials are current, relevant, and available for field use.
oSupport the creation or distribution of marketing assets that enhance recruiting and field engagement.
oAssist with special projects, reporting, and operational tasks that improve team efficiency and effectiveness.
The ideal candidate will possess the following:
- Strong attention to detail with excellent organizational and follow‑through skills.
- Professional communication style with the ability to represent the team and the NEST brand effectively.
- Experience with CRM systems and comfort managing data and activity tracking.
- Ability to manage multiple priorities and deadlines with minimal oversight.
- Knowledge of advisor recruiting practices or the financial services industry is a plus.
- Proactive mindset with a collaborative approach to problem‑solving and team support.
