The City of Dublin is seeking a highly organized and detail-oriented professional to serve as a Deputy Clerk of Council within Legislative Services. - Prepare, record, retain, and disseminate official legislative records and legislative action of the City.
- Provide notices of all public meetings in accordance with the City Charter, Codified Ordinance requirements, and State open meetings law.
- Assist with managing the operations of Legislative Services and ensure compliance with Charter and statutory requirements.
- Serve as Acting Clerk of Council in the Clerk’s absence.
- Coordinate and manage invitations for City Council, ensuring documentation on the Council Calendar and determining attendance expectations.
- Coordinate with staff regarding Council attendance and participation in City events and other engagement opportunities.
- Provide meeting administration including agenda support, packet production, action reports, minutes, web administration, and annual training for advisory committees and standing Council Committee meetings.
- Manage day‑to‑day administration of the public records software system (JustFOIA), collaborating with appropriate departments to collect records, assemble and organize records for Law Director review, redact sensitive information, and provide records to requesters in compliance with the Public Records Act.
- Assist in the preparation of materials for City Council meetings, including agendas, public notices, legislation, minutes, and other meeting materials as needed.
- Produce work that is accurate, free of errors, and meets deadlines; disseminate information to Council, staff, and the public in digital and printed form.
- Serve as Acting Clerk of Council in the Clerk’s absence, attending meetings, recording, and preparing accurate records; signing/attesting adopted legislation, minutes, plats, and annexation petitions.
- Serve as backup coverage for other Deputy Clerks by performing essential duties during absences, peak workloads, or operational needs; maintain functional cross‑training and working knowledge of each other’s assignments for continuity of operations.
- Use independent judgment and discretion when interacting, communicating, and collaborating with City leadership, other agencies, and the public on confidential matters.
