Job Description Summary
Provides receptionist/clerical support assuring patient flow, comfort and satisfaction. Primary responsibilities include but are not limited to: answering phones utilizing a computerized system, directing calls appropriately, scheduling patient appointments in the electronic medical record (EMR) system, data entry of patient information and insurance verification, providing support to staff members as assigned.
Responsibilities and Duties- Receptionist Responsibilities (70%)
- Greets patients at arrival, initiates appropriate paperwork, completes patient registration, insurance verification, collects co‑payments and outstanding balances, establishes payment plans, ensuring accuracy in information systems and billing systems. Works electronic medical record work queues to correct registration errors.
- Responsible for electronic and manual insurance verification, processes insurance paperwork, obtains pre‑authorization from insurance companies when necessary, and interacts with physician offices and other third parties to obtain all necessary paperwork.
- Updates patient chart electronically or on paper, obtains signatures on necessary documents, files paperwork, and notifies appropriate clinical associates of patient arrival.
- Answers multi‑line phone system, screens calls for office associates, directs to the appropriate office associate, and ensures appropriate phone coverage using a computerized system.
- Provides general office and clerical support as assigned by the Office Supervisor or Manager, including faxing documentation to referring physician offices, completing disability, FMLA, attorney request, patient record release, Industrial C‑9, C‑84, C‑86, Medco 17, Industrial appeal paperwork and retroactive C‑9s.
- Works industrial claims in the EMR system, attaching requested dictation to claims and adding diagnosis allowances and authorization numbers.
- Assists in keeping patient charts organized and filed, including scanning and document‑track information into the EMR.
- Attends staff meetings and continuing in‑house education seminars for further education as needed.
- Organizational/Office Responsibilities (30%)
- Sorts, distributes, and mails transcription as assigned.
- Orders and stocks office supplies.
- Ensures office equipment is clean and well‑maintained.
- Provides support to appropriate staff members as assigned.
- High School or GED (Required)
- 1–2 years of previous secretarial experience in health care or medical office, or equivalent combination of experience and training.
