The Strategic Assistant to the Executive Director at Seaside Sustainability collaborates closely with our Executive Director, Eric Magers, to manage executive-level projects for Seaside. They will be helping Eric oversee every department often acting as his liaison or simply as Eric. Working alongside Fellows and Department Managers, the Strategic Assistant ensures project deadlines are met, monitors progress, and encourages leadership development.

This critical role drives Seaside’s growth as well as making a meaningful difference in the organization’s mission and vision. We are currently looking for Strategic Assistants to assist with project management by specializing in one department. Our current department openings are:
Human Resources, Website & Technology, and Grant Writing.

The responsibilities of a Strategic Assistant to Eric encompass a wide range of dynamic tasks, but they are not limited to the items listed below. As the nature of the role involves collaborating with Eric on various projects and supporting his evolving needs, there may be adjustments and additional tasks based on the organization’s requirements. Adaptability and flexibility are key attributes that will allow you to thrive in this position and contribute effectively to the success of Seaside Sustainability.

Job Duties and Responsibilities:
  • Collaborate closely with Eric on various projects that align with his current focus and needs
  • Adapt to changing priorities and contribute to the successful execution of strategic initiatives
Weekly Check-in Meetings with departments:
  • Attend weekly check-in meetings with departments overseen by Eric.
  • Assist Eric during these meetings and communicate with Fellows to monitor project statuses.
Management Meetings:
  • Participate in management meetings 2-3 times a week with senior management.
  • Contribute to discussions and provide valuable insights to support decision-making.
Special Projects:
  • Work on specific projects as assigned, making a meaningful impact across different areas.
  • Embrace the flexibility to adapt your responsibilities based on the organization’s evolving needs.
Communication and Coordination:
  • Facilitate effective communication between Eric and other team members, ensuring clear directives.
  • Coordinate meetings, agendas, and follow-up actions to ensure seamless project progress.
  • Create meetings, maintain, and update the Executive Director’s calendar efficiently, ensuring prioritization, avoiding conflicts, and optimizing their time for maximum productivity.
Data Management:
  • Organize and maintain data, documents and files related to ongoing projects and initiatives.
  • Ensure accurate and up-to-date information is readily accessible for reference.
Marketing Plan:
  • Ensure completion of the Marketing Form by all departments to keep the Marketing department informed about Social Media and Newsletter content.
  • Enhance cross-departmental communication with the Marketing team.
  • Prioritize the posting of important and relevant information, with a focus on Seaside’s activities.
Qualifications:
  • Excellent written and verbal communication skills
  • Ability to adapt to changing priorities and handle unforeseen challenges with a flexible and proactive approach.
  • Critical thinking and problem-solving abilities to analyze complex situations and propose innovative solutions.
  • Demonstrated leadership qualities to work collaboratively with cross-functional teams and provide guidance to project managers.
  • Excellent time management skills to meet project deadlines and attend various meetings.
  • Comfortable using technology and software tools for database management, communication, and project tracking.
  • Ability to work both independently and collaboratively in a team-oriented environment.
  • Demonstrated commitment to the mission and values of the organization.
