Seasonal Administrative Assistant: HR & Accounting

Every summer, thousands of fans pour through our gates. Artists hit the stage, vendors fire up their fryers, lights go up, and music gets loud. What most people don’t see is the hundreds of people it takes behind the scenes to make the magic happen.

We produce three major music festivals each year and this role is part of the operational heart of it all. As our Administrative Assistant supporting HR and Accounting, you won’t just “help with paperwork”, you’ll help build the systems, staffing engine, and payroll infrastructure that power large-scale live events.

What You’ll Actually Be Doing:

High-Volume Hiring & Workforce Operations
  • Supporting seasonal hiring and onboarding processes
  • Managing documentation for hundreds of employees
  • Coordinating staff logistics leading up to the festival
HRIS Implementation & Systems Work
  • Assisting with HRIS setup and workflow development
  • Conducting data audits and ensuring data accuracy
  • Learning how onboarding, payroll, and HR systems integrate
  • Understanding overall data flow and process optimization
Payroll & Accounting Coordination
  • Supporting payroll preparation for a large seasonal workforce
  • Reviewing timesheets and assisting with discrepancy resolution
  • Learning financial documentation and administrative best practices
Live Event Operations
  • Supporting HR and staff services during the festival
  • Observing real-time workforce adjustments during a major event
  • Gaining insight into event operations management
Schedule
  • Spring: 10–15 hours/week (flexible)
  • Summer: 30–40 hours/week (June and July)
  • Festival Weeks:
    Full availability required; extended hours expected (Week of June 1st, week of June 25th, and week of July 13th)
Ideal Candidate
  • Junior, Senior, or Graduate student in Business, HR, Accounting, Event Management, or related field
  • Strong Excel or spreadsheet skills
  • Highly organized and comfortable working with data
  • Interested in HR systems, operations, and accounting
  • Professional, detail-oriented, and able to manage confidential information
  • Excited to gain hands-on experience in large-scale event operations
