Armanino offers a position for an Office Administrator who will support front‑desk and office operations, coordinate meetings and events, and manage administrative tasks in a collaborative environment.
Job Responsibilities- Greet clients, staff, vendors, and guests and ensure the reception area remains clean and welcoming.
- Answer and route calls received via Teams.
- Respond to inquiries via email, telephone, or in person.
- Assist visitors with building access and seating arrangements.
- Book conference rooms and schedule meetings, ensuring accurate processing of reservations.
- Manage parking and issue building access cards.
- Submit IT and building maintenance support tickets.
- Handle questions and provide assistance to all staff.
- Receive, distribute, and process outgoing mail; maintain accurate mailing records.
- Perform administrative and clerical duties such as filing, typing, copying, and scanning.
- Order office supplies, inventory, and reconcile office expenses within budget.
- Prepare coffee and ensure appropriate coffee accompaniments are available.
- Coordinate office lunches, catering, set‑up, and cleanup of meals.
- Move tables and chairs as needed for lunch meetings or special requests.
- Monitor and maintain kitchen, snack, and drink supply inventory.
- Order, receive, and stock kitchen inventory; keep the kitchen clean and orderly.
- Report directly to the regional manager and collaborate on departmental projects.
- Minimum 3 years of experience in office administration or related roles.
- Knowledge of computers, Microsoft Office, and Outlook.
- Positive attitude and common sense.
- Strong organizational skills with the ability to prioritize tasks efficiently.
- Excellent written and verbal communication skills.
- Attention to detail in handling mail, inventory, and administrative tasks.
- Proficiency with office equipment such as postage machines, printers, and kitchen appliances.
- Ability to work independently and within a team.
- Flexibility to adapt to changing priorities and occasional overtime.
