What You’ll Do

As an Operations Associate, you will support the day-to-day operational needs by distributing supplies, maintaining building systems, and responding to on-call emergencies. You will help ensure the safe movement and storage of archival materials across our corporate headquarters and satellite facilities. You will report to the Director of Facilities and Supply Chain and work closely with the operations team to keep facilities running smoothly and securely.

This is a full-time role with flexibility, including potential travel and an unconventional schedule when required.

Responsibilities
  • Facilities Maintenance
    • Monitor environmental sensor uploads and provide weekly summary reporting to the Director of Facilities and Supply Chain, highlighting deviations and identifying causes and solutions
    • Schedule maintenance for heavy machinery and equipment; inspect before and after use and address issues
    • Serve as vendor escort for building repairs and report resolutions or options
    • Utilize heavy machinery to meet operational requirements
    • Act as a heavy machinery instructor/licenser
  • Physical Security
    • Serve as first responder and holiday on-call support
    • Assist in maintaining opening/closing SOPs and ensure security measures are implemented
  • Disaster Preparedness & Risk Management
    • Maintain accountability and stores of Disaster Preparedness Kit (DPK) supplies
    • Assist with Risk Management Program by implementing mitigation measures and conducting inspections
    • Act as warehouse safety lead, enforcing safety policies and compliance
  • Vault
    • Maintain up-to-date vault maps for each facility and provide monthly reports on collection movement and LF counts
    • Manage archival vault space and inform project managers of material locations
    • Assist with shelving optimization and forecasting for new projects
    • Plan and oversee shelving expansion as required
    • Verify collection linear footage counts to support Client Services during renewal seasons
  • Asset Transportation
    • Plan and conduct new client content relocation operations, including pre-pack assessments, quotes, onsite packing, and after-action reviews
    • Provide transportation estimates during collection returns and assist with packing supply orders and reinstallation
    • Ensure safe movement of client materials between Heritage Werks facilities using proper handling, packing materials, and authorized vehicles
    • Ensure climate-controlled transportation vehicles
    • Act as lead asset receiver during nonstandard hours
    • Operate company vehicles
  • Supply Chain Management
    • Receive and track supply orders, update trackers, and distribute to project managers
    • Report discrepancies to pursue necessary change orders
    • Conduct end-of-project supply counts
Qualifications
  • 5+ years’ experience with vendor management
  • 5+ years’ experience in supply chain management
  • 5+ years’ experience managing multiple warehouse facilities, collection relocation, heavy machinery, and environmental controls
  • Ability to lift and shift up to 40 lbs. and maneuver within stacks and work spaces
  • Licensed on heavy machinery, CDL preferred or willingness to obtain
  • Strong verbal and written communication skills
  • High level of integrity and professionalism when handling sensitive information and materials
  • Collaborative with cross-functional teams and clients
  • Comfortable engaging with academic and executive colleagues
  • Able to excel in a deadline-oriented, dynamic environment with problem solving, ownership, and teamwork
