Able Autism Therapy Services - Assistant Office Manager
Job Description:
Assist in managing the center’s daily operations and support the Office Manager with long-term planning. Must work independently, manage a diverse team with excellent interpersonal skills, and demonstrate compassion. Satisfy criminal background check requirements as per agency policy.
Qualifications:
- Strong managerial and interpersonal skills
- Positive attitude and role model for clients, staff, and peers
- Organizational and administrative skills
- Flexible and innovative thinker
- Ability to maximize resources and meet key metrics
- Knowledge of clinic, school, and community operations
- Effective problem-solving skills
- Valid and active RBT certification
- Bilingual Spanish preferred
Computer
Skills:
- Proficiency in Microsoft Office applications
- Understanding of healthcare technology for client and staff management
Responsibilities:
- Handle calls, relay messages, and provide clinic information
- Manage staff schedules, performance, and assist with hiring/firing
- Communicate with referral sources to attract new clients
- Coordinate with vendors for maintenance and supplies
- Assist with staff appreciation and engagement initiatives
- Ensure safety and security of all individuals at the center
- Maintain accurate clinic and client documentation
- Support clinical scheduling and onboarding of new therapists
- Maximize therapy hour utilization and manage cancellations
- Assist with billing, payroll, and benefits tracking
- Guide client intake and authorization processes
- Develop and distribute clinical materials
- Maintain office and clinical resources and equipment
- Provide direct therapy if needed during emergencies or cancellations
- Train new staff and perform additional duties as assigned
