Job Summary
The primary responsibility of the Buyer is to oversee purchase orders (PO), supplier relationships, and the integrity of Item, Branch, Supplier, and Acquisition Cost data. This role ensures cost-effective, high‑quality, and timely delivery of goods while maintaining positive relationships with suppliers and cross‑functional teams. The Buyer drives consistent PO confirmation, proactive supplier engagement, and on‑time shipments that support fill rates and align with targeted service levels.
Additionally, the Buyer manages a diverse supplier portfolio and millions of dollars of inventory purchases to maximize stakeholder value.
- Process purchase requisitions and submit POs to suppliers.
- Maintain accurate PO data (item, quantity, supplier ship date) via the supplier portal.
- Track and expedite deliveries to ensure timely arrival of goods.
- Document PO acknowledgements and confirmations from suppliers.
- Edit PO lines to align supplier shipping documents for inbound supply visibility.
- Partner with Distribution and Logistics to resolve PO receiving issues (e.g., shortages, overages, damages, purchase price variances).
- Conduct regular supplier calls focused on key performance metrics.
- Provide performance‑related feedback to suppliers.
- Monitor quality of received stock, report discrepancies, and elevate concerns to suppliers and management.
- Build relationships with suppliers and identify opportunities for improved service and cost savings.
- Provide weekly management updates on supplier performance, improvement opportunities, and key takeaways.
- Communicate inbound supply plans and provide SKU‑level backorder recovery updates.
- Respond to vendor questions and provide order documentation as needed.
- Collaborate with Demand Planning to assess supplier capabilities and develop service‑level plans.
- Resolve invoice discrepancies, returns, and damaged goods to promote timely payments and credits.
- Communicate critical supply‑chain changes to downstream partners.
- Conduct regular audits of item, branch, supplier, and acquisition cost data; validate findings and implement corrections.
- Complete cost‑review templates upon cost changes, submit to the Sourcing Manager for negotiation, and update PO cost.
- Assist in maintaining accurate supplier terms and escalations for approval.
- Coordinate with Finance, Product Development, Management, and Warehouse staff as required.
- Identify and define process‑improvement opportunities to enhance procurement efficiency and accuracy.
- Perform other duties as assigned.
- Bachelor’s degree in supply chain, business administration, or related field, or equivalent combination of education and industry experience.
- 3–5 years of experience in PO management and supplier management.
- Intermediate experience with Microsoft Office Suite.
- Strong problem‑solving and critical‑thinking skills.
- Excellent organization and interpersonal skills with resourcefulness and proactivity.
- Impeccable attention to detail, strong multitasking abilities, and flexibility to shifting priorities.
- Ability to maintain composure in high‑stress environments.
- Exceptional verbal and written communication skills, enabling effective interaction with employees at all levels, including executive leadership, and suppliers.
- Experience in international buying.
- ISM CPSM and/or APICS CSCP, CPIM certification.
The position is primarily office‑based with occasional travel to supplier facilities. The work environment may include exposure to seasonal temperature extremes, loud noise, dust, and other material‑related hazards. Required physical tasks include frequent reading, writing, typing, speaking, occasional bending, stooping, and lifting up to 25 lb. Travel is expected 10–25 % of the time, with occasional overnight trips.
