Supervisory Organization:
Dept Rehabilitation Services–Oklahoma School for The Deaf

Full time, Regular, Continuous appointment.

Compensation:
Monthly $4,125.00, Annual $49,500.00 (Level II Pay Band I)

Basic Purpose

Positions in this job family are assigned responsibilities for providing administrative support to program areas and support functions or serve as an assistant to an administrator or official. Responsibilities include administration of agency programs, maintaining records, preparing correspondence, presentations, reports, and performing or overseeing administrative operational functions such as bookkeeping, accounting, human resources, purchasing, contracts, etc.

Typical Functions
  • Participates in projects as team member or team leader.
  • Develops and implements special procedures.
  • Initiates correspondence requiring knowledge of agency procedures and policies.
  • Develops and maintains confidential or complex files.
  • Interprets and advises internal and external customers on departmental or program rules, regulations, and laws.
  • Administers, prepares, or oversees administrative operational functions such as preparing invoices and payments of claims, requisitions, purchase orders, bookkeeping or accounting, and other fiscal duties.
  • Represents agency, supervising official, or program area at meetings, conferences, and civic organizations.
  • Coordinates activities with internal and external customers.
  • Establishes educational and/or training programs.
  • Interviews callers, arranges appointments, and performs other office tasks and duties.
  • Utilizes advanced technological equipment and data processing equipment to provide requested information to customers; reviews coded and uncoded source documents; edits documents and reports; examines and verifies reports for completeness, appropriateness, adequacy, and conformity to established requirements, and resolves discrepancies.
  • Trains or mentors other staff.
  • Supervises subordinate staff, including an administrative, clerical, or technical clerical unit.
Level Descriptor

Full performance level duties include establishing and maintaining positive working relationships, responding to inquiries per policies, performing administrative and operational tasks such as editing and auditing reports, inventory control, and participating in projects to improve agency services.

Education and Experience

Bachelor’s degree plus one year of technical clerical, administrative, secretarial, or general office work, or an equivalent combination of education and experience.

Knowledge, Skills, and Abilities

Knowledge of spelling, punctuation, business English; business mathematics; modern office methods and procedures; record-keeping; major policies governing assigned programs. Ability to establish effective relationships, perform confidential work, interpret and respond to inquiries at various complexity levels.

Special Requirements

May require frequent job-related travel. May require typing or keyboarding at a rate of 50 words per minute. May require or prefer a specific bachelor’s degree or college credits.

Essential Functions

Provides technical support to the Principal; prepares reports/data upon request; administers the student information/Sylogist system; assists in completion of accreditation reporting; maintains/updates/organizes student records with confidentiality; manages student/staff iPads; leads and maintains enrollment of all OSD students at the start of the school year. Assists Principal with special projects as needed.

Preferred Qualifications

American Sign Language. Knowledge of the student information/Sylogist system.

Background Check

Criminal background check required.
