Program Data Systems Administrator

JOB SUMMARY

The Program Data Systems Administrator maintains and oversees the Agency’s tracking software, including securities, data collection, data entry, and generation of reports and other computer output for Directors, Managers, Coordinators, and Agency staff. The role assists Agency departments and programs in data entry, data management, and tracking specific data as required by funders.

QUALIFICATIONS
  • Education:
    • High School Diploma or equivalent and additional training
    • Associates or Two‑Year College Degree

    Education may be waived with significant job‑related experience.

  • Experience: More than 3 years in a related field.
  • Authorization: Valid Driver’s License.

    • Excellent oral and/or written communication skills.
    • Ability to manage time that results in satisfactory quantity and quality of work.
  • Ability:
    • Support the Agency’s mission through daily work and public representation.
    • General knowledge of Agency programs and activities.
    • Demonstrated ability to work independently and as a team member.
    • Handle diverse work problems on a daily basis.
    • Organize work schedule, set priorities, and meet deadlines without supervision.
    • Adjust to last‑minute assignments and deadline requests that may be stressful.
    • Work across socio‑economic and cultural differences.
    • Attend training, classes, and meetings to improve job skills.
    • Serve as a mentor for new staff.
  • Other Knowledge:
    • Knowledge of and application of Agency policies and procedures, including safety, technology, data practices, and program regulations.
    • Understanding of numbers and mathematical concepts.
    • Knowledge of public and private sources of debt equity and subsidy.
    • Knowledge of federal, state, and local guidelines, codes, and regulations for implementation and reporting requirements.
    • Knowledge of Community resources.
  • PRIMARY DUTIES & RESPONSIBILITIES
    • Area 1:
      Program Operations
      • Configure and maintain the Agency client management software.
      • Collaborate with other departments on data systems and agency‑wide reporting.
      • Provide technical support to field staff for the client management software.
      • Design electronic and hard‑copy forms for client management needs.
    • Area 2:
      Program Compliance
      • Oversee and ensure accuracy of data entered into the Agency client database.
      • Recommend changes that increase program efficiency and reduce costs.
      • Ensure adherence to electronic document imaging/filing system procedures.
      • Apply Agency policies and procedures related to safety, technology, and data practices.
      • Maintain required records and submit reports, data entry, and paperwork timely.
    • Area 3:
      Program Communications
      • Provide in‑service training for all staff as needed.
      • Research professional development opportunities.
      • Communicate training needs and request support from management.
      • Collaborate with team members, volunteers, program participants, and community partners.
      • Inform supervisor of job activities, challenges, and successes.
      • Coordinate with Agency staff to assist program participants in accessing resources.
      • Participate in program, community, committee, and staff meetings.
    • Area 4:
      Work Knowledge
      • Proficient computer skills and knowledge of Microsoft Office programs.
      • Substantial experience managing demographic and program information.
      • Knowledge of computer database architectures.
      • Data processing and reporting skills.
    JOB FACTORS
