Job Overview
The Administrative Specialist is the glue that holds the office together! In this role you will provide administrative, clerical, and receptionist support for our local office. You will handle routine office duties and work closely with the General Manager to ensure the office functions efficiently and effectively. You will be the first point of contact for potential and existing customers, perform data entry, and assist with billing.
Responsibilities- Organize and prioritize large volumes of information and phone calls.
- Sort and distribute all incoming mail and open mail for the General Manager.
- Respond to regularly occurring requests for information.
- Answer phones as a receptionist, take messages, and field/answer all routine and non‑routine questions.
- Manage accounts receivables (AR) for the office, make customer calls, send correspondence, document information in the company system, review AR reports, and communicate past‑due accounts to the General Manager.
- Maintain accounts payable (AP) for the office, process invoices, record pertinent information, code invoices to the correct GL account, and submit invoices to Corporate for payment.
- Provide administrative assistant support, including filing, typing, and designing general correspondence.
- Order office supplies as needed.
- Update and maintain commonly used databases, including contract/client information, structure and signage information, client applications, new contracts, and pictures.
- Generate various reports, including monthly and annual expenses and tracking reports.
- Order logo plates as required.
- Assist with collections, including calling clients and sending letters.
- Process accounts payable and expense reports.
- Strong command of the English language.
- Working knowledge of Microsoft Office Suite, with focus on Access and Excel.
- High level of interpersonal skills to handle sensitive and confidential situations, demonstrating poise, tact and diplomacy.
- Analytical ability to gather and summarize data for reports, find solutions to administrative problems, and prioritize work.
- Attention to detail in composing, typing, and proofing materials, establishing priorities, and meeting deadlines.
- Strong work ethic, professional pride, responsibility, and proactivity.
- Ability to work independently and as a team member in a small office.
- Knowledge of office administrative procedures and standard office equipment.
- Ability to handle confidential and non‑routine information and explain policies when necessary.
- A high school diploma or equivalent is required.
- Associate's degree, business school certification, and/or some college is preferred.
- A minimum of 6 months of office experience is required; in lieu of experience, college education will be accepted.
- Other equivalent combination of education and experience will be considered.
- Preferred: 2 years of computer software use in an office setting.
- Valid driver's license required.
Monday‑Friday 8:00am–5:00pm work schedule.
Hourly rate of $22 per hour, dependent on relevant experience and qualifications.
