The Role

Our client, a global leader in water treatment, hygiene, infection prevention, and sustainability solutions, is seeking a Finance Administrative Specialist to support billing operations and sales support activities within a fast‑paced corporate environment. This role is ideal for a detail-oriented professional who enjoys working with data, collaborating across departments, and ensuring billing processes are completed accurately and efficiently. The Finance Administrative Specialist will partner closely with sales, finance, and operations teams to maintain consistent billing practices while supporting compliance with internal policies and procedures.

Job Description

As a Finance Administrative Specialist, you will play a critical role in supporting billing operations and maintaining financial accuracy for assigned customer accounts. You will manage billing arrangements, coordinate invoice processing activities, and serve as a key point of contact for internal stakeholders.

Responsibilities
  • Set up billing arrangements and special pricing according to established business guidelines and procedures.
  • Manage and maintain a designated workload of customer accounts assigned by strategic business units.
  • Drive the invoicing process by coordinating with internal stakeholders to obtain billing arrangement numbers, contract start and end dates, reference numbers, and billing adjustment information.
  • Research, interpret, and process requests while analyzing data to provide appropriate recommendations and solutions.
  • Build strong working relationships with sales, finance, and other cross-functional teams to support accurate and consistent billing practices.
  • Assist and educate sales representatives on company billing procedures, policies, and compliance requirements.
  • Maintain accurate records and documentation within internal business systems.
  • Contribute to a collaborative, team-focused environment while supporting departmental goals and service-level expectations.
  • Deliver excellent customer service to both internal and external stakeholders.
  • Support process improvement initiatives and assist in resolving billing-related issues.
Required Qualifications
  • High school diploma or GED.
  • 4+ years of administrative support, finance support, billing support, or technical sales support experience.
  • Proficiency with Microsoft Excel and other Microsoft Office applications.
  • Experience supporting sales teams and business operations.
  • Ability to work effectively in a fast‑paced environment while meeting strict deadlines.
  • Strong customer service skills with experience supporting internal and external customers.
  • Strong computer proficiency and the ability to learn new systems and business applications.
  • Excellent attention to detail and accuracy when processing financial and billing information.
  • Strong analytical, problem‑solving, and organizational skills.
  • Ability to communicate effectively with stakeholders across multiple departments.
Preferred Qualifications
  • Associate degree or Bachelor's degree in Business, Finance, Accounting, or a related field.
  • 6+ years of administrative support or technical sales support experience.
  • Experience working independently with minimal supervision in an autonomous environment.
  • Strong ability to prioritize responsibilities and manage multiple tasks simultaneously.
  • Excellent written and verbal communication skills.
  • Advanced organizational and time management skills.
  • Experience analyzing data and making recommendations based on findings.
  • Experience supporting billing, invoicing, pricing, or finance-related processes within a large corporate environment.
