Job Description
Our client is seeking an Administrative & Finance Coordinator to join their close-knit team in Duluth, MN. This position is ideal for someone with a strong administrative background who is eager to grow into finance and accounting responsibilities over time. The individual will support audit preparation, compliance reporting, invoicing, grant administration, and financial operations while also assisting with general office administration.
This is a unique opportunity to join an established team where employees have worked together for many years and where the selected candidate will have the opportunity to grow into a larger role supporting long-term cash flow planning and business operations.
Key Responsibilities- Assist with audit preparation and reconciliation activities
- Support state and federal compliance reporting requirements
- Process invoices and maintain financial documentation
- Assist with grant administration and government contract documentation
- Update and maintain business registrations, including SAM.gov and other regulatory databases
- Support cash flow tracking and financial reporting initiatives
- Coordinate office administrative functions, including ordering supplies and managing operational documentation
- Maintain accurate records and ensure compliance with organizational policies
- Work closely with leadership and operate independently when supervisors are traveling or working offsite
- Support special projects and administrative initiatives as needed

Skillsand Requirements
- 1-2 years of office administration or administrative support experience
- Experience supporting audit preparation, reconciliation activities, invoicing, and compliance reporting
- Exposure to state and federal reporting requirements
- Interest in learning cash flow projections and financial reporting
- Experience maintaining registrations and business records (SAM.gov, state registrations, business licenses, etc.)
- Comfortable working independently and asking questions when guidance is needed
- Ability to learn new tasks quickly and perform duties with minimal repetition or supervision
- Experience supporting grants, contracts, or government-related documentation
- Strong organizational skills and attention to detail
- Comfortable working in a small, close-knit construction company environment with a rural/back-office setting

- Exposure to accounting, bookkeeping, or finance functions
- Experience supporting cash flow reporting, forecasting, or compliance initiatives
