We are looking for a highly motivated Proposal Coordinator to support our Marketing Manager and Senior Marketing & Proposal Specialist in developing proposals that secure new work for Limno Tech. The position is full‑time (40 hours per week) and will begin with a 90‑day in‑person introductory period. After that, hybrid schedules may be requested in accordance with company guidelines.

Responsibilities
  • Help develop, maintain, and champion Limno Tech’s proposal workflow procedures and processes.
  • Drive and coordinate the proposal development process:
    • Review RFIs/RFPs/RFQs and develop production schedules.
    • Schedule meetings and track completion of staff and subcontractor assignments.
    • Facilitate communication between project staff and other teams.
    • Coordinate with subcontractors on schedules and materials.
    • Prepare agendas and lead kickoff and check‑in meetings.
  • Co‑lead the completion and submission of high‑quality proposals within strict deadlines:
    • Collaborate with the proposal team to gather required information.
    • Fill out and review proposal forms for completeness and accuracy.
    • Format and lay out proposal content using standard templates.
    • Lead proofreading, final editing, and layout of proposals.
    • Ensure all proposal requirements are met and package proposals professionally.
    • Manage the final production and submission of all proposals.
  • Maintain and improve internal marketing and proposal materials:
    • Maintain proposal templates and build material/content libraries.
    • Track and manage electronic proposal files and archives.
    • Compile materials for proposals and work with staff to update resumes, bio‑sketches, project profiles, headshots, logos, firm overviews, and other boilerplate content.
  • Support management of accounts to help screen for and capture RFP opportunities and proposal submissions.
  • Provide other marketing and business development support as needed.
Qualifications
  • Bachelor’s Degree in Marketing, Communications, Journalism, English, Business, Environmental Science, or a related technical discipline.
  • 2‑4 years of relevant experience.
  • Excellent verbal and written communication skills.
  • Exceptional organizational skills and time management.
  • Strong attention to detail and pride in every aspect of work.
  • Advanced proficiency in MS Word, MS Teams, and Adobe Acrobat Pro.
  • Proficiency in Microsoft Excel and PowerPoint.
  • Familiarity with Adobe Creative Cloud Apps (InDesign, Photoshop) is a plus.
  • Familiarity with AI platforms and tools (Claude, ChatGPT, Gemini, etc.) and AI‑enabled proposal development workflows.
  • Strong relationship‑building skills.
  • Ability to work positively under pressure and meet tight deadlines.
  • Efficient multitasker.
  • Interest and/or experience with business development is a plus.
  • Legally able to work in the U.S. for any employer (proper documentation required).
Compensation

The salary for this position will be based on the candidate’s years and type of experience, degrees earned, office location, and fit with job requirements, and is expected to range between $65,000 and $80,000 annually.
