Payroll Specialist

Objective of job:
Oversee and administer payroll to ensure accuracy and legal compliance with federal, state, and local payroll and tax laws.

Responsibilities
  • Process payroll for all necessary locations using outsourced payroll system and the Payroll Process Guide.
  • Handle payroll changes including W‑4, direct deposit, child support, garnishments, levies, salary updates, benefit and 401(k) changes, 401‑k loans, and severance payments.
  • Prepare pay batches for pay cycles with deductions, enterprise van pool deductions, lease reimbursements, expat school payments, idea bonus, service awards, and other earnings.
  • Process final payment to CA employees via ADP Debit Card as required by CA state laws.
  • Assign and issue ADP debit cards to employees who lack direct deposit.
  • Download payroll reports into payroll folders on the O drive.
  • Generate reports for third‑party administrators (401(k) and FSA) and ensure timely funding each pay period.
  • Ensure proper payroll tax compliance by outsourced payroll provider.
  • Submit CA Wage Date Report annually as required by CA law.
  • Prepare quarterly and annual reporting for JDC to the Department of Revenue and the Dept of Commerce, and audits by SCDOR.
  • Generate monthly accrual report for Finance.
  • Import travel expenses via Concur into ADP each pay cycle for reimbursement.
  • Send G/L and expense reports to Finance each payroll cycle.
  • Generate ADP/SAP HR Cockpit Headcount as needed by management and other departments.
  • Generate monthly KPI and headcount reports for management.
  • Provide payroll data for 401(k), workers’ comp, and KPMG audits annually.
  • Coordinate expatriate compensation with the Expat Coordinator.
  • Audit ADP/SAP HRIS data monthly.
  • Prepare and submit EEOC Report annually.
  • Have authorization to check and direct funding as necessary for payroll processing with proper approvals.
  • Support benefit and leave management.
  • Maintain benefit carrier connections between ADP and carriers.
  • Coordinate open enrollment and benefits fair annually.
  • Administer Daily Pay.
  • Prepare annual 5500s for all benefit plans and 401(k), ACA reporting, and other annual fees/reporting.
Job requirements
  • Associate’s Degree or equivalent work experience.
  • 3 to 5 years of general payroll processing experience.
  • 1 to 2 years of payroll tax experience.
  • Previous ADP experience is a plus.
