Executive Administrative Assistant & Office Manager
The Executive Administrative Assistant & Office Manager provides high-level administrative support to Reeves senior leadership while overseeing the daily operations of the corporate office. This role serves as a trusted partner to executives, managing complex calendars, travel, communications, meetings, and special projects while ensuring efficient office administration and a professional workplace environment.
The position is responsible for coordinating office operations, managing vendors and facilities-related activities, supervising the Front Desk Receptionist, and ensuring exceptional service for employees, visitors, and business partners. The ideal candidate is highly organized, proactive, detail-oriented, and capable of handling confidential information with discretion while managing multiple priorities in a fast-paced environment.
Executive Support- Provide high-level administrative support to executives and senior leadership.
- Manage complex executive calendars, meetings, travel arrangements, and expense reporting.
- Prepare executive correspondence, presentations, reports, meeting agendas, and minutes.
- Coordinate leadership meetings, off-site events, and strategic planning sessions.
- Coordination of conferences and other special events.
- Availability for overnight travel as required to support remote events and business operations.
- Screen and prioritize incoming communications and requests.
- Track action items and follow up with stakeholders to ensure timely completion.
- Handle highly confidential business, personnel, and financial information with discretion.
- Oversee the day-to-day operation of the corporate office.
- Supervise, train, and provide direction to the Front Desk Receptionist.
- Establish and maintain front-office procedures, service standards, and coverage schedules.
- Manage office facilities, office equipment, and vendor relationships.
- Coordinate office maintenance requests and serve as a liaison with building management.
- Manage office supply inventory and purchasing activities.
- Monitor office-related expenses and assist with budget administration.
- Recommend and implement process improvements.
- Ensure conference rooms, common areas, and reception spaces are maintained professionally.
- Coordinate workplace events, employee meetings, and company functions.
- Support recruiting and onboarding activities, including interview scheduling and new-hire logistics.
- Maintain electronic and physical records in accordance with company policies.
- Coordinate visitor management, security access, and office communications.
- Assist with special projects and cross-functional initiatives as assigned.
- Associate degree or equivalent experience required;
Bachelor's degree preferred. - Minimum 5 years of progressively responsible administrative support experience.
- Minimum 2 years of office management, supervisory, or team lead experience preferred.
- Demonstrated experience supporting senior executives in a corporate environment.
- Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
- Strong organizational, project coordination, and problem-solving skills.
- Excellent verbal and written communication skills.
- Proven ability to manage confidential and sensitive information.
