Mission:
Reeves is looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. This position is based in our Duncan, SC Corporate Headquarters and will report to the Executive Administrative Assistant / Office Manager.
- Receiving visitors at the front desk
- Greeting clients, staff and vendors (welcoming, directing and announcing them appropriately)
- Answering phone calls
- Scheduling appointments and maintaining conference room calendars
- Scheduling and coordinating logistics and catering for internal & external meetings
- Setting up repair services appointments for building maintenance
- Company iPhone / iPad ordering and setup
- Processing outgoing mail & Fed Ex packages, and distributing incoming mail & packages
- Managing office inventory and ordering supplies for office
- Phone directory management
- Preparing communications, such as memos, emails, reports and other correspondence
- Operating office equipment including printers, copiers, fax machines and multimedia instruments
- Keeping front area and kitchen orderly, neat, & well stocked
- Corporate pool car coordination & maintenance
- Running errands
- Contributing positively as part of a team, helping out with other various office/admin/clerical tasks as required
- Other duties as assigned
High School Diploma or General Education Degree (GED) required
Skills & ExperiencePrior experience as a receptionist and/or admin (preferred). People person. Strong interpersonal skills: enjoys interacting with people. Adaptability: able to adapt to ever changing situations. Decision-making: make independent decisions on a daily basis, addressing the best way to handle specific tasks. Organizational skills: organization and prioritization are the core elements of the Administrative Assistant's responsibilities. You must have excellent time management skills, know how to keep yourself and others organized, and how to determine which tasks are the most important in a given list.
Excellent written and verbal communication skills, as well as competency in Microsoft Office applications such as Outlook, Word and Excel
