SummaryProvides general office support such as greeting visitors, answering and dispatching phone calls, scheduling meetings and ordering supplies as well as other light administrative duties.
Essential Duties and Responsibilities- Greet visitors and direct them.
- Answer, screen and dispatch phone calls in a professional manner while taking accurate messages and responding to caller’s needs appropriately.
- Maintain the reception area.
- Manage conference room schedules.
- Prepare conference rooms/training rooms for meetings, including initial setup, periodic checks to ensure food and drink needs are met, and post-meeting cleanup of food, drink and dishes.
- High level of proficiency in software applications such as MS Office, including Word, PowerPoint and Excel.
- Assist with bulk copying, filing as needed.
- Order office supplies including postage meter, break room supplies, cleaning, stocking for both the office and warehouses.
- Coordinate pickup and delivery of incoming and outgoing mail and deliveries (e.g., Fed Ex, UPS, couriers).
- Maintain current employee roster with telephone extensions/cell phones.
- Receive, sort, stamp and deliver mail daily.
- Sort and deliver all paperwork from the warehouses.
- Participate in special projects as directed and perform additional duties as assigned.
- Assist accounting department with payables – barcoding and scanning of invoices received by mail or email.
Education and Experience
- High school diploma or equivalent.
- 3 or more years of office or clerical experience.
- Computer literate with experience in Excel spreadsheets, Word documents and email.
- High degree of accuracy in data entry.
Skills and Abilities
- Ability to define problems and make reasonable judgments.
- Excellent communication and interpersonal skills.
- Ability to work in a fast-paced, multi-task environment while projecting a professional image.
- Strong organization skills to complete duties in a timely manner and maintain neatness of work area, files and reports.
- Attention to detail.
- Ability to work independently as well as part of a team.
