Position Information
The employee is responsible for creating and processing purchase order requests and processing invoices required to monitor $9.5 million annual expenditures supported by various funding sources which include: the Comprehensive Services Act (CSA), Title IV-E Foster Care and Adoptions, Juvenile Court, Arlington Special Education programs and Day Care services. The position is part of the Centralized Fiscal Team located in the Child and Family Services Division of the Department of Human Services.
As part of the Centralized Fiscal Team, the duties and responsibilities include:
- Creating, processing, and tracking purchase order requests and ensuring accuracy of requests for allowable services;
- Reviewing, analyzing and ensuring accuracy of expenditures and appropriateness of payment type of approximately 1,000+ invoices monthly;
- Working with Financial Management Bureau accountants in reconciling expenditures and troubleshooting to determine system or data entry errors;
- Interacting with vendors, some of whom speak Spanish, to research and resolve invoice or payment issues for five programs;
- Serving as liaison between social workers/case managers and vendors to resolve disputes;
- Preparing spreadsheets;
- Preparing monthly and quarterly financial reports;
- Entering data on the purchase order system;
- Closing out accounts at the end of every fiscal year.

Minimum:
High school diploma or equivalent and two years of experience in account management, account maintenance or budget related work.
Substitution:
Successful completion of college coursework from an accredited college or university may be substituted for the experience requirement on the following basis: 2 years = six months of experience; 4 years = one year of experience.
Specific accounting-related coursework (including accounting principals and cost accounting) at the college level may be substituted for up to one year of experience on the following basis: six (6) hours equals six (6) months; twelve (12) hours equals one (1) year of experience. Additional experience may be substituted for up to two years of high school on a year-for-year basis.
Additional education may not substitute for more than one year of experience.
Desirable- Experience resolving billing or service discrepancies with vendors or representatives of other organizations;
- Experience working in a human services environment;
- Experience using word processing, spreadsheet, database management and/or financial management software;
- Data entry experience;
- Experience processing applications and assessing or calculating related fees; and/or
- Oral proficiency in Spanish.
Flexible schedule, 40 hours per week, Monday through Friday between 8:00 a.m. and 8:30 p.m.
