The Advancement Coordinator provides administrative, operational, database, fundraising, and event support for the Office of University Advancement. Reporting to the Vice President of Advancement, this mid- level position plays an important role in supporting fundraising initiatives, donor stewardship, advancement services, grant coordination, and foundation operations.

The coordinator serves as a key resource for donor database management, gift processing, reporting, constituent communications, and event support. This position requires a highly organized, detail-oriented professional who can maintain confidential information, provide exceptional customer service, and support the university’s philanthropic mission and fundraising goals.

ESSENTIAL DUTIES AND RESPONSIBILITIES Administrative Support for Donor Relations & Fundraising
  • Provide general office and administrative support to Advancement and Foundation staff.
  • Prepare correspondence, reports, presentations, meeting materials, and other documents such as templates for donor acknowledgment letters, pledge reminders, receipts, and other donor correspondence.
  • Assist with scheduling, calendar management, and project coordination. Assist with fundraising activities, donor meeting preparation, and cultivation activities such as event registrations, RSVP tracking, attendee communications, and event organization.
  • Protect and maintain the confidentiality of donor, foundation, and university information.
  • Perform special projects and other duties as assigned by Advancement and Foundation leadership.
Advancement Services & Database Management
  • Enter and maintain donor and constituent records in the advancement database systems.
  • Perform data entry, imports, exports, queries, and reporting functions.
  • Enter gifts, pledges, event registrations, and other constituent information with a high degree of accuracy and efficiency.
  • Generate fundraising, donor, campaign, and membership reports.
Other
  • Performs other tasks and special projects assigned by Advancement and Foundation leadership.

MINIMUM EDUCATION, TRAINING, AND EXPERIENCE Required
  • Bachelor's degree from an accredited institution; consideration may be given to candidates currently enrolled in a bachelor's degree program who are nearing completion.
  • Strong digital technology aptitude with proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Experience with database programs; strong organizational, communication, customer service, and time-management skills.
  • Ability to manage multiple priorities while maintaining a high level of accuracy and confidentiality.
Preferred
  • Experience with Raiser's Edge NXT or other constituent relationship management (CRM) / relational database programs.
  • Experience in higher education, nonprofit organizations, fundraising, or advancement services.
  • Experience with donor stewardship, gift processing, event coordination, grant administration, or fundraising operations.
  • Knowledge of advancement and foundation best practices.
