Position Title
Mortgage Post-Closing Document Indexing Specialist
SummaryThis position is responsible for indexing and reviewing signed loan closing documents into Encompass following company guidelines. It involves contacting borrowers, title companies, or FUBM closers/funders for missing or unsigned closing documents and confirming receipt. It also requires working on audit indexing loan requests from Mortgage Compliance and delegating loans to be indexed or that have been requested by Audit to other Post‑Closing team members if required.
Key Responsibilities- Indexes and reviews signed closing documents into Encompass efolder, keeping up with all company policies.
- Contacts borrowers, title companies or FUBM closers/funders for missing or non‑signed closing documents.
- Completes audit loan request and/or required corrections from Mortgage Compliance.
- Contacts other team members to assist with indexing to keep pipeline count to meet company policies.
- Provides backup for Mortgage Post-Closing Incoming Mail Specialist.
- Provides backup for Mortgage Post-Closing Scanning/Shredding Specialist.
- Scans and indexes recorded MTG/DOT and TPOL.
- Provides back‑up assistance to others within the department as needed.
- Performs other duties as requested by management.
- Completes all required compliance exams on a yearly basis.
- Adheres to all First United policies and procedures.
- Adheres to First United dress policy.
- Recommends to manager possible methods to improve department.
- High school diploma or GED required.
- Prior banking/mortgage experience preferred.
- Basic mathematical skills.
- Proficient computer skills.
- Exceptional customer service skills.
- Good problem‑solving and decision‑making skills.
- Demonstrates good judgment.
- Strong organizational skills.
- Strong interpersonal skills and ability to work well with a wide range of people.
- Ability to communicate well with customers by all means of communication, including written, verbal, and non‑verbal communication.
- Ability to use e‑mail, phone, and other communication tools.
- Willingness to accept additional responsibilities.
- Dependable and adheres to timelines and schedules.
- Takes initiative in development and completion of projects.
