Loan Document Specialist I - Consumer

Job Description Position Summary

The Consumer Loan Documentation Specialist role is responsible for preparing, reviewing, and validating consumer loan documentation in accordance with approved loan terms, internal policy, and applicable federal and state regulations. This role performs critical first-line risk control activities that directly impact regulatory compliance, customer experience, and the bank’s ability to perfect and maintain lien position. Risk and regulatory accountability exist at all levels of this role.

Progression through Levels I–III reflects increasing mastery, accuracy, independence, depth of regulatory and policy knowledge, and training scope. Tolerance for regulatory or lien-impacting defects does not increase by level.

Essential Duties and Responsibilities
  • Prepare consumer loan documentation for real estate and non-real estate loans in accordance with approved loan terms, internal credit policy, and applicable regulatory requirements.
  • Process consumer loan modifications, including renewals, deferrals, and other modification requests, in accordance with approved terms and applicable requirements.
  • Review system-generated documents to ensure accuracy, completeness, and alignment with loan approvals.
  • Identify discrepancies, missing information, or documentation defects prior to closing and take appropriate corrective or escalation action.
Regulatory Compliance and Risk Identification
  • Apply consumer lending regulations including, but not limited to, TRID, RESPA, HMDA, HPML, FDPA, and Regulation

  • Identify documentation, regulatory, or collateral risks that could result in compliance violations, customer harm, or impaired lien position.
  • Escalate exceptions, risks, or unclear requirements in a timely and appropriate manner.
Collateral and Lien Support
  • Review collateral documentation, including title and lien documentation, to confirm requirements are met to establish and perfect the bank’s security interest.
  • Verify appraisal, flood, environmental, title, and other collateral support requirements are complete, accurate, and sufficient for the loan type and collateral.
  • Ensure documentation supports enforce ability and compliance with internal and external requirements.
Collaboration and Issue Resolution
  • Partner with Loan Officers, Lending Teams, Credit Administration, and Compliance to resolve documentation deficiencies or clarify approval terms.
  • Support Community Bank personnel by answering documentation requirements and processing questions or escalating when additional guidance is needed.
  • Research and analyze documentation or compliance questions to support accurate and timely file completion.
Workload Management and SLA Prioritization
  • Independently prioritize assigned workload to meet SLA expectations and minimize aged, delinquent, or time-sensitive work.
Audit, Quality, and File Maintenance
  • Support internal audits, regulatory exams, and quality assurance reviews by ensuring loan files are complete, accurate, and properly documented.
  • Process denied, withdrawn, and fallout applications to ensure regulatory and documentation completeness.
  • Maintain and image complete loan and collateral files so records are accurate, accessible, and audit-ready.
Additional Responsibilities
  • Participate in process improvement efforts related to documentation, workflow, quality, customer/member experience, and risk reduction.
