To ensure that the Finance function is supported through the provision of specialist input, to ensure that all financial requirements and compliance are met in the Grindrod Rail division. This position will be based in Durban or Pretoria, South Africa.

Duties and Responsibilities:

Budget Process:

Ensure that Business Unit Managers are supported in budget preparations.

  • Preparation of budget file- all information.
  • Issue timetable.
  • Assist with queries.
  • Assess reasonableness of forecasts.
  • Consolidate budgets.
  • Deadlines are met.
  • Budgets are realistic and support strategic plans
Management Accounts:

Review management accounts incorporating:

  • Income statement analysis.
  • Provide management information to the CEO related to cost saving and revenue improvement potential.
  • Review of income statement and balance sheet for Rail companies.
  • Balance sheet reconciliations.
  • On time and accurate in a format acceptable for distribution to Directors and shareholders.
  • Information results in management action.
Financial Reports:

Prepare financial reports incorporating:

  • Routine reports- debtor / credit management, monthly management accounts, cash flow forecasts and stock reports.
  • Ad hoc report as required.
  • On time, accurate and user-friendly.
Annual Audits:

Prepare for and coordinate interim and annual audits.

  • Lead schedules.
  • Interact with auditors- provide background and address queries, assist with systems checks.
  • Documentation requirements.
  • Prepare annual year-end pack for Rail companies.
  • Scrutinise annual financial statements.
  • Confirm correctness of tax computation.
  • Challenge issues raised.
  • Unqualified audit.
  • Deadlines met.
  • Accurate information.
  • Proactive and comprehensive preparation- optimisation of Auditor time.
Compliance:

Ensure both internal policies, rules and procedures as well as legislation and best practice principles are complied with.

  • IFRS, tax legislation, Companies Act, NCA, compliance.
  • Advise internal "clients" on policy and procedure matters.
  • Monitor and report on compliance.
  • Remain current with legislation.
  • Company is not exposed to non-compliance risks.
Projects:
  • Undertake finance-related projects as required- in support of operations.
  • Accurate and on time.
Creditors:
  • Complete and review of credit applications.
  • Analyse supplier profiles and identify cost-saving potential.
  • Reconcile monthly, identify / resolve variances, identify variance origin.
  • Approve vendor onboarding forms.
  • Releasing payments.
Stock
  • Check stock–ad hoc, review stock take, identify opportunities to optimise stock.
  • Attend stock counts of the Rail companies and ensure compliance with group
  • policies and procedures.
Expense analysis
  • Challenge costs / necessity of.
  • Carry out accrual forecasts.
Inter-company accounts:
  • Reconcile monthly, confirm balances and settlements.
  • Accurate and on time.
HR Reconciliations:
  • Check for variances and ensure resolutions are actioned.
  • Accurate and on time.
Other:
  • Ensure adherence to credit management controls.
  • Ensure viability of debtors- accurate invoicing as per contract, meet customer invoicing requirements.
  • Ensure collection as per credit terms.
Fixed assets:
  • Maintain FA and tax registers.
  • Ensure correct capitalisation / depreciation rates applied.
  • Capex levels complied with.
  • Expenditure as per budget.
Long-term liabilities:
  • Source finance at preferential rates.
  • Setup contracts.
  • Utilise cash to settle loans.
Bank:
  • Provide a cash management service- excess cash optimally invested.
  • Review bank guarantees, commissions, credit facilities.
  • Ensure integrity of signatories and accuracy.
Tax:
  • Compute annual tax, prepare returns, make payments, ensure compliance, attend to SARS queries.
  • Test VAT balancing to GL, submit monthly VAT returns, check reasonableness of VAT computation.
Financial reporting:
  • Consolidate pack for distribution to Execs and shareholders.
  • Coordinate and consolidate budgets.
System:
  • Approve amendments to SAP master data (customers, vendors, spend categories, materials etc.).
  • Consider access rights to roles and transactions on SAP with a view to mitigate risk.
  • Assist with SAP implementation projects.
Staff Management:
  • Provides leadership and direction to the Department.
  • Ensures that there is clear focus and co-ordination of all activities.
