Dean's Office Assistant (Staff Assistant)At Duke, the Dean's Office Assistant is a vital part of a collaborative and highly visible office supporting the Dean, faculty, and the broader Duke Law community. This role requires discretion, independent judgment, and the ability to handle complex and sensitive administrative tasks while representing Duke Law with professionalism and care.
What You'll Do Administrative & Office Operations- Serve as the Dean's Office liaison with Law School administrative personnel, university offices, and external agencies.
- Provide general administrative support to the Dean's Office.
- Provide backup administrative support to the Assistant to the Dean.
- Maintain files, records, reports, and correspondence.
- Greet visitors and manage traffic into the Dean's Suite.
- Answer and manage the Dean's Office telephone line.
- Manage scheduling for the Nasher Conference Room.
- Demonstrate exceptional professionalism, confidentiality, and interpersonal skills.
- Serve as a courteous, respectful, and polished first point of contact for the Dean's Office.
- Provide administrative support to key faculty committees.
- Support faculty reappointment processes.
- Assist with adjunct faculty onboarding.
- Compile information for the University Bulletin.
- Support Professional Skills Appointments hiring searches.
- Process procurement card purchases, travel, requisitions, and reimbursements.
- Verify and reconcile expenditures.
- Maintain accurate financial records.
- Assist with special projects and programs.
- Perform other duties as assigned.
- Two years of post‑secondary education in secretarial science or a related business field.
- Four years of related secretarial/clerical experience, or equivalent combination of education and experience.
- Proficiency in Microsoft Office Suite.
- Excellent interpersonal and communication skills.
- Exceptional organization and problem‑solving abilities.
- Ability to manage multiple deadlines.
- Strong attention to detail and follow‑through.
- Ability to work independently and collaboratively.
Duke University provides an annual base salary range for this position as USD $19.80 to USD $30.63. Total compensation includes comprehensive medical/dental programs, retirement benefits, and family‑friendly programs.
