Job Summary

We are seeking an energetic and highly organized Front Desk Coordinator to be the welcoming face of our office. In this vital role, you will manage front desk operations, provide exceptional customer support, and ensure smooth administrative workflows. Your positive attitude, attention to detail, and multitasking skills will help create a professional and friendly environment for clients, visitors, and team members alike.

Duties
  • Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
  • Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
  • Handle scheduling tasks including calendar management and appointment setting for staff and executives
  • Perform data entry, maintain filing systems, and organize documents with accuracy and attention to detail
  • Support office management activities such as supply inventory, order processing, and basic bookkeeping using Quick Books or similar tools
  • Assist with clerical tasks like proofreading correspondence, managing emails, and preparing reports in Microsoft Office or Google Workspace
  • Provide exceptional customer service by addressing inquiries via phone or email, supporting client needs, and maintaining positive relationships
Requirements
  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
  • Experience with multi-line phone systems and excellent phone etiquette
  • Bilingual abilities are a plus to serve diverse clients effectively
  • Knowledge of Quick Books or bookkeeping experience is preferred but not required
  • Strong typing skills along with time management capabilities to prioritize tasks efficiently
  • Athena Experience (EMR) is a plus
  • Previous experience in front desk roles such as medical receptionist or dental receptionist is advantageous
  • Excellent communication skills with a professional demeanor and ability to handle clerical responsibilities accurately
  • Personal assistant experience or office management background is beneficial for supporting daily operations
