Office Administrator/ Coordinator, Admin Assistant
Coman Publishing ( a division of On3 Media) is looking for a highly organized, detail-loving, people-friendly Office Manager to keep our operations running smoothly.
If you enjoy wearing multiple hats, solving problems, working with numbers, helping customers, and being the go-to person in the office, this could be a great fit.
This is not a sit-back-and-coast role. It’s fast-paced, hands-on, and important. The right person will thrive on responsibility and take pride in keeping everything organized, accurate, and moving forward.
What You’ll DoYou’ll serve as the operational hub of the office, supporting circulation, accounting, and customer service functions.
Daily Responsibilities Include- Answering customer calls and emails with professionalism and warmth
- Entering and managing subscription data accurately
- Recording daily sales and preparing bank deposits
- Coordinating mail pickups and post office runs
- Processing outgoing mail and renewal materials
- Managing office supplies and equipment
- Supporting internal communication and document organization
- Assisting with circulation and editorial needs
- Handling administrative tasks and problem-solving as they arise
No two days are exactly the same — and that’s part of what makes it interesting.
What We’re Looking For- 2+ years of office management, bookkeeping, or customer service experience
- Strong Microsoft Excel skills (Mail Merge experience is a plus)
- Comfortable working on a Mac
- Excellent phone and email communication skills
- Strong attention to detail and accuracy
- Ability to prioritize and manage multiple tasks
- Self-directed, dependable, and proactive
- Valid driver’s license and current auto insurance
- Ability to lift up to 50 pounds
Experience in publishing or mail-based businesses is helpful, but not required.
- Full-time, on-site (40 hours/week)
- Free parking
- Salary: $45,000 annually
- Benefits include 401(k), health insurance, and paid time off
- Permanent position (not seasonal or temporary)
