JOB SUMMARY
We are seeking an Administrative Assistant to perform administrative and secretarial duties of a complex and confidential nature in the Vascular department, supporting departmental goals and maintaining operational efficiency. The role provides direct and indirect support to faculty and department leadership.
JOB DUTIES AND RESPONSIBILITIES- Coordinate special projects, including meetings, division events, parties, and other initiatives.
- Assist faculty in developing standard operating procedures for the clinical enterprise.
- Use effective communication, critical thinking, and problem‑solving skills to prioritize and resolve issues via phone, email, or in person.
- Act on behalf of faculty to receive and respond to communication from clinical, educational, and research stakeholders.
- Perform clerical and typing tasks related to office materials such as form letters, requisitions, memoranda, reports, and summaries, ensuring accuracy, proper formatting, and timely distribution.
- Maintain faculty CVs, licensure, and professional memberships; draft and format professional documents to support academic work.
- Manage high‑level calendars, secure travel arrangements, coordinate itineraries, process reimbursements, and maintain clinical schedules to optimize physician efficiency.
- Support faculty across clinical, research, and education functions.
- Serve as liaison between the department and other Duke groups or departments.
- Provide backup support and coverage to the Vascular administrative team.
- Process CME reimbursements for clinical and research activities.
- High school education or equivalent.
- Two years of progressively complex administrative support experience.
Day shifts, Monday–Friday, without weekend or holiday work.
