Position OverviewWe are seeking a detail-oriented, mid‑level Office Support Specialist to join our team in Durham, NC. In this role, you will anchor our day‑to‑day office operations, providing dependable administrative assistance to our leadership, logistics, and operations teams. A key component of this role includes supporting our logistics workflow by actively tracking, scheduling, and entering expenses related to fleet management.
Essential Duties and ResponsibilitiesOperational & Fleet Support: Provide seamless administrative assistance to managers and operations staff.
Actively track vehicle maintenance schedules, coordinate fleet logistics, and manage data entry and tracking for all fleet‑related expenses.- Documentation & Reporting: Prepare reports, maintain spreadsheets, assist with general invoicing, and handle accurate, timely data entry.
Records Management: Maintain organized, up‑to‑date physical and digital filing systems for general operations and fleet compliance.
Workflow Optimization: Follow and help refine established office procedures to keep daily operations running smoothly.
Experience: Minimum of 1 year of administrative or office support experience in a professional setting.
Technical
Skills:
Proficiency with Microsoft Office Suite (Outlook, Word, Excel), with strong data entry accuracy.Core Competencies: Strong organizational, time‑management, and multitasking skills with a high attention to detail.
Communication: Excellent written and verbal communication skills.
Autonomy: Ability to work independently with minimal supervision in a fast‑paced, deadline‑driven environment.
Experience supporting management or executive leadership teams.
Prior exposure to fleet management tracking, logistics, transportation, or industrial environments.
Familiarity with basic billing, invoicing, expense tracking, or financial functions.
Standard business hours in a professional office environment.
Prolonged periods of sitting at a desk and operating a computer, phone, and standard office equipment.
Salary: $58,000.00 - $68,000.00 per year (Compensation based on experience)
