Job Description Overview
We are seeking a dynamic and proactive Executive Assistant (EA) to support the President of Pharmacy Automation (RxA) in our Durham, NC BD location. This role is highly visible and involves complex administrative responsibilities, serving as the primary administrative liaison with senior management, customers, and their assistants as well as the RxA team.
Key Responsibilities- Administrative Support
- Manage calendars, schedule meetings, and coordinate travel arrangements.
- Handle all administrative matters related to on‑site and off‑site meetings, including booking meeting rooms, arranging catering, and ensuring the room is equipped appropriately.
- Maintain daily calendars, resolve scheduling issues, and prepare Word, Excel, and PowerPoint presentations, agendas, reports, and other documents.
- Assist with special projects as needed.
- Leadership Support
- Work closely with the President and other senior leaders to support routine and specific matters.
- Schedule leadership team meetings, town halls, training sessions, and off‑site meetings.
- Serve as a liaison to the management teams within the Connected Care Segment and across BD.
- Organize and coordinate executive outreach and external relations efforts and oversee special projects.
- Support other senior leaders as needed.
- Communication and Coordination
- Screen incoming requests, take and deliver accurate messages, and provide information.
- Draft and prepare correspondence for internal announcements and to external organizations.
- Welcome guests and answer or direct inquiries.
- Confidentiality and Discretion
- Manage sensitive matters with a high level of confidentiality and discretion.
- Use good judgment to handle executive leadership matters.
- High school diploma/GED with formal training or equivalent work experience; college degree preferred.
- At least 5 years of experience supporting a President, EVP or C‑suite executive.
- Advanced proficiency in Microsoft Office applications (Outlook, Word, Excel, PowerPoint, Copilot) and designing complex documents and presentations.
- Experience with Docusign preferred.
- Extensive experience in calendar management and travel booking/expense preparation using platforms such as Concur.
- Ability to handle multiple tasks efficiently in a fast‑paced environment and maintain a high degree of confidentiality, attention to detail, and professionalism.
BD requires most roles to be on site at least 4 days a week, with flexibility for workspace arrangements. For certain roles, employment is contingent upon proof of full COVID‑19 vaccination.
